Writing A Cover Letter
A complete job application consists of a cover letter and a resume. The cover letter is meant to highlight your individuality or personality, and to make you stand out from among hundreds of other applicants. When there are more job seekers around than job vacancies, human resource personnel tend to be more selective when short listing candidates for interview.Hence, you should use the cover letter as a tool to win the heart of a prospective employer.Market yourself to create a positive first impression in the cover letter, so that the person will read your resume, shortlist you for an interview, and offer you a job.A poorly written cover letter is likely to get instant rejection from the employer given the current job market. As there is no standard format for cover letter, you are encouraged to write a particular cover letter, one at a time, to apply for the position of your interest.Cover letter should not be generic, i.e.you should not use the same cover letter for all the companies you wish to approach. This is because details like where and when you learnt about the vacancy, why you are interested to apply, what you have to offer to the company etc.are different for each of these companies.Generally, a well written cover letter should provide answers to what the employers want to know:
Are you the kind of person they are looking for?
Do you have the relevant education, work experience and skills?
Can you handle the work demands, based on the job description?
Have you shown a commitment to this particular field of interest?
How well can you communicate with others?
Are you a team player?
Have you any leadership qualities?
Guidelines for writing a cover letter:
Organize your thoughts carefully
Express yourself clearly and reasonably
Use strong action words to describe your achievements
Use active rather than passive voice
Avoid jargon
Avoid long sentences
Avoid bad grammar and spelling mistakes
Limit the length to one page only
Proof read before you send via e-mail

When you write a covering letter it is important to have a structure.A typical structure would have four paragraphs and should answer four “W” questions: What job are you applying for? Why do you want to work in this sector and organisation? What are you offering? When are you available for interview?
In your first paragraph you should state the job you are applying for and where you found it.Companies like to know which of their advertising sources is successful, so tell them if you found it online, through a newspaper or from another source. You should also inform them of when you are available to start.
In the second paragraph tell them why you are interested in that type of work and why the company attracts you.If, for example, it is a small company say you prefer to work for a small, friendly organisation.
Summarise your strengths in the third paragraph and state why they would be an advantage in the job.You should match and relate your skills to the competencies that are required for the job.
In the final paragraph mention any dates that you won’t be available for an interview and remember to thank the employer and say you look forward to hearing from them.
You should use only one side of A4 paper and use the same font as you used in your CV.
When you start the letter, try to personalise it by finding out the name of the person to write to.One statistic states that a covering letter and CV addressed to the correct person are 15% more likely to receive a reply and 5% more likely to get an interview.Remember when you start with a specific name, e.g.“Dear Mr.Jones”, you should end with “Yours sincerely”.If you can’t find the name and have to start “Dear Sir or Madam”, end your letter with “Yours faithfully”.
Here are some examples of popular ways to start a covering letter:
My name is ______ and I am writing in response to your advertisement
我的名字是______。
I am writing in response to your advertisement in/for
Further to your advertisement in______, I should like to apply for
I am writing to enquire if you have any vacancies for_____
As you will see from CV
正如你从简历中所看到的power words are key words and phrases that you should try to use during the core part of your cover letter;paragraphs two and three. They will give your letter more impact;think about how you could use words like these:
AchievedAdvisedAnalysedBudgeted
CapableCommunicatedCompetentConsolidated

Don’t try to use them all at once but they will help you create a more dynamic cover letter.Remember it is your letter, so use your own words not formal boring clichés.The tone of your letter should professional, positive and informative.
