1.Be concise and to the point.言简意赅
Do not make an e-mail longer than it needs to be.Remember that reading an e-mail is harder than reading printed communications and a long e-mail can be very discouraging to read.回信时,用语要简练。不要超过理应的长度。因为过有间毕竟没有阅读打印出来的材料方便。2.Answer all questions, and pre-empt further questions.回复所有的邮件,并预先提出潜在的问题。
An email reply must answer all questions, and pre-empt further questions – If you do not answer all the questions in the original email, you will receive further e-mails regarding the unanswered questions, which will not only waste your time and your customer’s time but also cause considerable frustration.Moreover, if you are able to pre-empt relevant questions, your customer will be grateful and impressed with your efficient and thoughtful customer service.Imagine for instance that a customer sends you an email asking which credit cards you accept.Instead of just listing the credit card types, you can guess that their next question will be about how they can order, so you also include some order information and a URL to your order page.Customers will definitely appreciate this.在回复邮件时,要做到回答信中提到的所有问题,从而节省多次来往邮件的时间。其次要预先提出潜在的问题,这样一方面可以节省回复邮件的时间,另一方面可以给客户树立我们高效和细致入微的客服水平形象。
3.Use proper spelling, grammar & punctuation.正确的拼写,语法和标点
This is not only important because improper spelling, grammar and punctuation give a bad impression of your company, it is also important for conveying the message properly.E-mails with no full stops or commas are difficult to read and can sometimes even change the meaning of the text.And, if your program has a spell checking option, why not use it? 正确的拼写,语法和标点不仅关系着信息的正确表达,还关系着公司的形象。没有标点符号的邮件不仅读起来晦涩,有时候还会让人曲解意思。如果我们的电脑程序中有拼写的检查,为什麽不充分利用呢?
4.Use templates for frequently used responses.利用固定的模板
Some questions you get over and over again, such as directions to your office or how to subscribe to your newsletter.Save these texts as response templates and paste these into your message when you need them.You can save your templates in a Word document, or use pre-formatted emails.很多情况需要我们重复用到一些格式,不如保存这些格式在自己的邮件中,或事前设定一个模板,这样回信时就方便多了。5.Answer swiftly.回信要及时
Customers send an e-mail because they wish to receive a quick response.If they did not want a quick response they would send a letter or a fax.Therefore, each e-mail should be replied to within at least 24 hours, and preferably within the same working day.If the email is complicated, just send an email back saying that you have received it and that you will get back to them.This will put the customer's mind at rest and usually customers will then be very patient!客户发邮件时,都希望能够得到最迅速的回复。所以,每封邮件要在24小时之内回复,最好是在收信当天回复。如果邮件的信息量比较大,不能当时或在24小时之内回复的邮件,也要在收到邮件时告诉客户我们会尽快回复。这种做法通常会让客户有足够的耐心等待。
6.Do not attach unnecessary files.不要附加不必要的文件
By sending large attachments you can annoy customers and even bring down their e-mail system.Wherever possible try to compress attachments and only send attachments when they are productive.Moreover, you need to have a good virus scanner in place since your customers will not be very happy if you send them documents full of viruses!不必要的附件不仅会使我们的客户不开心,有时,还会影响我们邮箱地反应速度。所以,只发对客户有用的附件,并且,要随时检查邮件是否带病毒。可以想象当客户受到我们发给他们满是病毒的邮件会有什麽反应。
7.Use proper structure & layout.采用适合的结构和版面
Since reading from a screen is more difficult than reading from paper, the structure and lay out is very important for e-mail messages.Use short paragraphs and blank lines between each paragraph.When making points, number them or mark each point as separate to keep the overview.基于在屏幕中阅读远南过于阅读打印出来的材料,所以要合理的排版,并在重要的地方强调。这样才便于阅读。
8.Do not overuse the high priority option.发送邮件时不要经常标注惊叹号
We all know the story of the boy who cried wolf.If you overuse the high priority option, it will lose its function when you really need it.Moreover, even if a mail has high priority, your message will come across as slightly aggressive if you flag it as 'high priority'.“狼来了”的故事我们都听说过,同理,为了使我们真正重要的邮件能得到别人的重视。不要把提示别人注意的提示符用滥。9.Do not write in CAPITALS.不要使用大写
IF YOU WRITE IN CAPITALS IT SEEMS AS IF YOU ARE SHOUTING.This can be highly annoying and might trigger an unwanted response in the form of a flame mail.Therefore, try not to send any email text in capitals.大写让人感觉我们在叫喊,为了避免歧义,还是少用为妙。10.Don't leave out the message thread.不要漏掉任何线索
When you reply to an email, you must include the original mail in your reply, in other words click 'Reply', instead of 'New Mail'.Some people say that you must remove the previous message since this has already been sent and is therefore unnecessary.However, I could not agree less.If you receive many emails you obviously cannot remember each individual email.This means that a 'threadless email' will not provide enough information and you will have to spend a frustratingly long time to find out the context of the email in order to deal with it.Leaving the thread might take a fraction longer in download time, but it will save the recipient much more time and frustration in looking for the related emails in their inbox!
回信时,要在原文的基础上附带原邮件。不要主观的认为所有的线索都已经很清楚了,几天后,当你回了上百封邮件后再看这封信时,一定不记得客户曾经要求过什麽了。与其浪费时间在寻找原邮件上,还不如在回邮件时附上原件。
11.Read the email before you send it.发邮件前要复查 A lot of people don't bother to read an email before they send it out, as can be seen from the many spelling and grammar mistakes contained in emails.Apart from this, reading your email through the eyes of the recipient will help you send a more effective message and avoid misunderstandings and inappropriate comments.回邮件前仔细检查不仅会使回信更为有效,还会减少出现不必要误解的可能。
12.Use cc: field sparingly.减少使用抄送
Try not to use the cc: field unless the recipient in the cc: field knows why they are receiving a copy of the message.Using the cc: field can be confusing since the recipients might not know who is supposed to act on the message.Also, when responding to a cc: message, should you include the other recipient in the cc: field as well? This will depend on the situation.In general, do not include the person in the cc: field unless you have a particular reason for wanting this person to see your response.Again, make sure that this person will know why they are receiving a copy.如果没有特别的需要,尽量不要抄送给和回邮无关的人员。除非那些被抄送的人有知道的必要。13.Do not overuse Reply to All.不要过度使用回复所有人
Only use Reply to All if you really need your message to be seen by each person who received the original message.14.Mailings > use the Bcc: field or do a mail merge.使用密送或做一个邮件合并
When sending an email mailing, some people place all the email addresses in the To: field.There are two drawbacks to this practice:(1)the recipient knows that you have sent the same message to a large number of recipients, and(2)you are
publicizing someone else's email address without their permission.One way to get round this is to place all addresses in the Bcc: field.However, the recipient will only see the address from the To: field in their email, so if this was empty, the To: field will be blank and this might look like spamming.You could include the mailing list email address in the To: field, or even better, if you have Microsoft Outlook and Word you can do a mail merge and create one message for each recipient.A mail merge also allows you to use fields in the message so that you can for instance address each recipient personally.For more information on how to do a Word mail merge, consult the Help in Word.15.Take care with abbreviations and emoticons.小心对付缩写和图释 In business emails, try not to use abbreviations such as BTW(by the way)and LOL(laugh out loud).The recipient might not be aware of the meanings of the abbreviations and in business emails these are generally not appropriate.The same goes for emoticons, such as the smiley :-).If you are not sure whether your recipient knows what it means, it is better not to use it.在商业信函中,尽量避免使用所写或图释,因为接受者很有可能不明白其中的意义。16.Be careful with formatting.小信格式化
Remember that when you use formatting in your emails, the sender might not be able to view formatting, or might see different fonts than you had intended.When using colors, use a color that is easy to read on the background.当我们格式化我们的邮件时,发件人很有可能不能看到格式化后的结果。所以在格式化时,要选择已于阅读的背景。
17.Take care with rich text and HTML messages.小心对待文本格式和超文本连接格式。
Be aware that when you send an email in rich text or HTML format, the sender might only be able to receive plain text emails.If this is the case, the recipient will receive your message as a.txt attachment.Most email clients however, including Microsoft Outlook, are able to receive HTML and rich text messages.可能你的邮件接受者只能接受纯文本格式。如果是这种情况,那他/她打开的邮件将以.TXT附件出现。不过大多数OUTLOOK的用户都可以接受HTML和rich text.18.Do not forward chain letters.不要转发系列邮件

19.Do not request delivery and read receipts.不要要求派发
This will almost always annoy your recipient before he or she has even read your message.Besides, it usually does not work anyway since the recipient could have blocked that function, or his/her software might not support it, so what is the use of using it? If you want to know whether an email was received it is better to ask the recipient to let you know if it was received.20.Use a meaningful subject.要用有意义的主题
Try to use a subject that is meaningful to the recipient as well as yourself.For instance, when you send an email to a company requesting information about a product, it is better to mention the actual name of the product, e.g.'Product A information' than to just say 'product information' or the company's name in the subject.一个有实际意义的标题名称对收件人和自己都会很有效。不妨用最简洁的语言包括比较全面或者比较重要的信息。
21.Avoid long sentences.尽量避免长句子
Try to keep your sentences to a maximum of 15-20 words.Email is meant to be a quick medium and requires a different kind of writing than letters.Also take care not to send emails that are too long.If a person receives an email that looks like a dissertation, chances are that they will not even attempt to read it!尽量避免超过15-20个字的长句子。邮件和信函不同,过长的邮件会让收件人看到就不想再读下去了。
22.Don't send or forward emails containing libelous, defamatory, offensive, racist or obscene remarks.By sending or even just forwarding one libelous, or offensive remark in an email, you and your company can face court cases resulting in multi-million dollar penalties.不要再邮件中掺杂有偏见和带有歧视或者冒犯性质的言语。23.Don't forward virus hoaxes and chain letters.If you receive an email message warning you of a new unstoppable virus that will immediately delete everything from your computer, this is most probably a hoax.By forwarding hoaxes you use valuable bandwidth and sometimes virus hoaxes contain viruses themselves, by attaching a so-called file that will stop the dangerous virus.The same goes for chain letters that promise incredible riches or ask your help for a charitable cause.Even if the content seems to be bona fide, the senders are usually not.Since it is impossible to find out whether a chain letter is real or not, the best place for it is the recycle bin.不要转发带有病毒或是循环发送的邮件。24.Don't reply to spam.对垃圾邮件置之不理 By replying to spam or by unsubscribing, you are confirming that your email address is 'live'.Confirming this will only generate even more spam.Therefore, just hit the delete button or use email software to remove spam automatically.回复垃圾邮件等于暴露自己的目标。这样我们就有可能收到更多的病毒。所以,直接删除,并启动自动删除软件。

一、文法上

2、句子不要凌碎

三、其他内容
从问候开始
用问候语开始邮件内容非常重要,例如“Dear Lillian,”。根据你与收件人的关系亲近与否,你可能选择使用他们的姓氏来称呼他们而不是直呼其名,例如“Dear Mrs.Price,”。如果关系比较亲密的话,你就可以说,“Hi Kelly,”如果你和公司联系,而不是个人,你就可以写“To Whom It May Concern:”
感谢收件人
如果你在回复客户的询问,你应该以感谢开头。例如,如果有客户想了解你的公司,你就可以说,“Thank you for contacting ABC Company.”如果此人已经回复过你的一封邮件了,那就一定要说,“Thank you for your prompt reply.”或是“Thanks for getting back to me.”如果你可以找到任何机会那一定要谢谢收信人。这样对方就会感到比较舒服,而且显得更礼貌。
表明你的意图
然后,如果是你主动写电子邮件给别人的话,那就不可能再写什么感谢的字句了。那就以你写此邮件的目的开头。例如,“I am writing to enquire about …”或是“I am writing in reference to …”
在电子邮件开头澄清你的来意非常重要,这样才能更好的引出邮件的主要内容。记得要注意语法,拼写和标点符号,保持句子简短明了并句意前后一致。
结束语
在你结束邮件之前,再次感谢收信人并加上些礼貌语结尾。你可以“Thank you for your patience and cooperation.”或“Thank you for your consideration.”开始接着写,“If you have any questions or concerns, don't hesitate to let me know.” 及“I look forward to hearing from you.”
结束
最后是写上合适的结尾并附上你的名字。“Best regards,” “Sincerely,”及“Thank you,”都很规范化。最好不要用“Best wishes,”或“Cheers,”类的词因为这些词都常用在非正式的私人邮件中。最后,在你发送邮件之前,最好再读一遍你的内容并检查其中有没有任何的拼写错误,这样就能保证你发出的是一封真正完美的邮件!

主题(Subject)框的内容应简明地概括信的内容,短的可以是一个单词,如greetings;长的可以是一个名词性短语,也可以是完整句,但长度一般不超过35个字母。YES:Supplier training

主题框的内容切忌含糊不清。
NO:像News about the meeting 这样的表达,YES:应改为Tomorrow's meeting canceled。
一般来说,只要将位于句首的单词和专有名词的首字母大写即可。另外一种较为正规的格式可将除了少于5个字母的介词、连接词或冠词之外的每一个单词的首字母大写。YES:New E-mail Address Notification;Detailed calculation
NO:detailed calculation
视信的内容是否重要,还可以开头加上URGENT或者FYI(For Your Information,供参考),如:URGENT:Submit your report today!
二、称呼
1、E-mail一般使用非正式的文体,因此正文(Body)前的称呼(Salutation)通常无须使用诸如Dear Mr.John之类的表达。在同辈的亲朋好友或同事间可以直呼其名,但对长辈或上级最好使用头衔加上姓。YES:Tommy,或者Mr.Smith。

三、拼写
1、E-mail的非正式的文体特点并不意味它的撰写可以马虎行事,特别是给长辈或上级写信,或者撰写业务信函更是如此。写完信后,一定要认真检查有无拼写、语法和标点符号的误。当然Outlook Express等软件的'拼写检查'功能可以助你一臂之力。
2、外国国名尽量用大写.是为尊重,也方便邮差.3、标点要准确
NO:He did not make repairs, however, he continued to monitor the equipment.YES:He did not make repairs;however, he continued to monitor the equipment.4、大小写要注意
非必要,不要整个字都是大写,除非要骂人。
NO:MUST change to OS immediately.外国人就觉得不礼貌和喝令人一样。YES:要强调的话,用底线,斜字,粗体就可以了。
四、结尾部分
A、书信的结尾致意要留意,弄清大家的关系才选择用词,例子:

有时在we, I, and you之间选择是很烦的事--如果是公司代表联络生意之类,可以用: We will reimburse you for these legal expenses.Sinopec will reimburse you for these legal expenses.如果单纯说你自己,可以用: I found the brochure very informative.有时可以一起用啦...: We are pleased to offer you the position of sales director, and I am looking forward to our Tuesday morning meeting.那么I和you呢?好烦好烦.一般来说,收信人的利益比较重要,名义上都要这样想.给人尊重的语气就一般不会错了.多用you有时会有隔阂的感觉.You will be pleased to learn that you have been selected to serve on our advisory board.Your prompt response will be appreciated.(好像欠你一样)
I am pleased that our board has selected you as the best qualified candidate to serve on our advisory board.I hope you’ll agree to serve.(这就友善多了)

总之,语气和宾词的运用得当能决定你的礼貌程度.B、信尾客套话(Complimentary close)通常也很简明。常常只须一个词,如:'Thanks','Best','Cheers',不需要用一般信函中的'Sincerely yours'或'Best regards'。
C、签名:不要把Mr., Ms., Mrs., Dr.之类一起签,人家会笑你的...签名也看信件的语气.给朋友或公司客户,签Bill也可以,给陌生人就最好用Gates或者Bill Gates啦.五、其它注意事项:

B、文体
1、可读性:对象是大学程度的话,用高中的英文就行,不要以为人人都是语言大师,多用短句(15-20字吧),技术性的字,就更加要简单易明.2、注意段落的开头.一般来说,重要或强调的事情都放在信件或段落的开头,而句子就放在最尾.例如:(1).Because he was unable to attend the meeting personally, he forwarded his congratulations on cassette tape.(2).He forwarded his congratulations on cassette tape because he was unable to attend the meeting personally.两者强调的事情就有分别了.3、轻重有分,同等重要的用and来连接,较轻放在次要的句子里.4、意思转接词要留神.例如: but(相反), therefore(结论), also(增添), for example(阐明).分不清furthermore和moreover就不要用啦.5、句子开头不要含糊不清的主词。

私人信件通常由五部分组成:
1.信头:指发信人的地址和日期。写在信纸的右上角,可以从靠近信纸的中央写起。信头上面要留空白。先写发信人地址。地址的写法与汉语不同,要先写小地方,后写大地方。在地址的下面写上日期。日期的顺序是:月、日、年,或者:日、月、年。例如:May 17 2003。在年份之前有一个逗号。
2.称呼:指对收信人的称呼。写在信头之下,从信纸的左边开始。写信给熟悉的人,一般用Dear…或My dear…作称呼。如:Dear Li Lei,Dear Miss Thomas或My dear Dad.
3.信的正文:指信的主体部分。从称呼的下一行第一段顶边写。从第二段起每段第一个词都缩进3或5个字母写。
4.结束语:指正文下面的结尾客套话。一般从信纸的中央靠右写起,第一个字母大写,末尾用一逗号。在非正式的社交信中,常用Yours或Sincerely。假如对方是亲密的朋友,可用Sincerely yoursYours等。
5.签名:指发信人签名。写在结束语的下面,稍偏右。

英文书信的格式
1、信头(Heading)
指发信人的姓名(单位名称)、地址和日期,一般写在信纸的右上角。一般公函或商业信函的信纸上都印有单位或公司的名称、地址、电话号码等,因此就只需在信头下面的右边写上写信日期就可以了。英文地址的写法与中文完全不同,地址的名称按从小到大的顺
序:第一行写门牌号码和街名;第二行写县、市、省、州、邮编、国名;然后再写日期。标点符号一般在每一行的末尾都不用,但在每一行的之间,该用的还要用,例如在写日期的时候。
2、日期的写法:
如:1997年7月30日,英文为:July 30,1997(最为普遍); July 30th,1997;30th July,1997等。1997不可写成97。
3、信内地址(Inside Address):
在一般的社交信中,信内收信人的地址通常省略,但是在公务信函中不能。将收信人的姓名、地址等写在信头日期下方的左角上,要求与对信头的要求一样,不必再写日期。
4、称呼(Salutation):
是写信人对收信人的称呼用语。位置在信内地址下方一、二行的地方,从该行的顶格写起,在称呼后面一般用逗号(英国式),也可以用冒号(美国式)。

5、正文(Body of the Letter):
位置在下面称呼语隔一行,是信的核心部分。因此要求正文层次分明、简单易懂。和中文信不
同的是,正文中一般不用Hello!(你好!)正文有缩进式和齐头式两种。每段书信第一行的第一个字母稍微向右缩进些,通常以五个字母为宜,每段第二行从左面顶格写起,这就是缩进式。但美国人写信各段落往往不用缩进式,用齐头式,即每一行都从左面顶格写起。商务信件大都采用齐头式的写法。
