英文商务信函格式与结构,商务英语邮件格式规范

一般来说,现在使用的商务英语书信的格式主要有两种:传统的缩头式(the conventionalindented form)和现代的齐头式(the modern blocked form)。

根据英国传统做法,缩头式要在信文每一段缩进五或六个字母的空间,有时可能会缩进更多。现在,齐头式在商务英语书信中使用得非常普遍。它的突出特点就是所有信的内容都从信纸的左边开始,段落与段落之间要比缩头式多空出两到三行,以便于区分。这种格式被称作齐头式(the fullblocked form)。但是,有时把日期放在信纸的左边会给查找带来不便,所以,人们使用了一种改良的齐头式(the modifiedblocked form),即把日期放在右边,而把其他内容放在左边。

一般来说,我们通常使用单行距来布局一封信,这会使我们所写的信有一种紧凑感,但有些人在写短信的时候,更喜欢用双行距。

根据个人或公司的喜好,可以选择使用齐头式或缩头式。但不论选择哪一种格式,一般商务英语书信的结构都包括以下几部分内容:

(1)信头(the lettermail 地址。信头在信纸的最上方,有的公司把信头直接印在所使用的信纸上。质量优良的信纸以及一个整洁、匀称的信头,可以展示一个公司的风采,增强公司的信誉。

案号是写信时所给的、以便查询的字母或数字。经常以“Our ref”和“Your ref”来区分。它的位置一般是在信头的右边。而日期在信头以下三行或四行,不管是齐头式还是缩头式,一般把日期放在右端,这可起到行尾的作用,使信看上去更整齐。在商务英语书信中,日期一定要写全,不能用数字的形式,因为美国和英国的日期标示法是不同的。英国的日期标示法是“24thMarch.2002”,而美国的日期标示法则是“March24,2002”。月、日的后面用逗号,年份后面不用标点。

封内名称和地址即收信人的名称和地址,要放在信纸的左上方,在日期以下三行或更多行,这可根据信的长短来定。

封内名称和地址要用齐头式,紧靠信纸的左边,这样会使信看上去整齐。

开头称呼语是写信人开始信文的礼貌用语,一般商务英语书信中多用Dear Sir,Dear Sirs 或Gentlemen,并且独立成行,在封内名称和地址以下三行。在Dear Sir 或Dear Sirs 后面用逗号,而在Gentlemen 后面用冒号。

信文是实质性的内容,信文的书写要求是简洁、清晰、礼貌;语法正确,切中要点;段落划分明确,每段集中于一个话题;打印准确,布局要有艺术性,使你的信件看上去赏心悦目。尤其注意页边空栏,它是信文的框架。信文多用单行距,有些短信可用双行距。

结尾敬语是信件结束时的一种礼貌用语。它只是一种礼貌用语,在信中没有实际意义,传统使之成为必须,并已成为习惯,所以一直沿用至今。传统的结尾敬语有: Yours faithfully,Yours truly(多用于美国)等,也有人用倒装的Faithfully yours,Truly yours 等。结尾敬语必须和信文紧连一起,不能分开,更不能把它单独放到另一页。如遇此种情况,则信件必须重新安排、打印。

签署是写信人或其所代表公司的名称或标记。公司名称可以打印,而主管人签名则必须是手写,两者都不可用印章代替。这部分在结尾敬语以下三行,大约留出五行或更多的空间。

注意事项的习惯用语是:For the attention of 或简单的Attention,下面一般要加上横线。当信件是写给特定的人或主办部门时,则用此用语。它在开头称呼语以上两行。除齐头式外,可放在信文以上中间。

事由或标题在开头称呼语以下两行,下加横线,除齐头式外,一般放在信文以上中间。经常是用一词或简单的几个词来表示信文的主题,让收信人先对所谈内容有所了解。

经办人代号在签署以下两行。是打字员名字的首字母缩写,可用小写,也可用大写。

附件在经办人代号以下两行。写信人可标示出一个或多个信中所提到的附件。经常使用的形式有: Enclosure,Enclosures,Encl.,Enc.等。

抄送在附件以下两行。抄送有明、暗两种方式。明示的标记为cc,后面加上收件人或公司的名字,可打印在原件和复印件上。暗示的标记为bcc,后加收件人或公司的名字,只打印在复印件上,并且只有写信人和收信人知道。

附言在抄送以下两行。如写信人想增加些信中忘记提到的内容,可用此方式,但应尽量避免使用。因为它可能会给人一种错觉,即在写信前,你未能很好地安排你的信件。这可能会影响到你的信誉。

在上述十三部分内容中,前七部分是每一封商务英语信件所必需包含的内容,而后几部分则是可有可无的。

总之,当你书写商务英语书信的时候,必须谨记:选定一种格式,坚持使用,不能变来变去;结构中的内容要安排合理得当,所必需的七部分内容一个都不能少。布局好的信件是双方交易的好的开始。一封布局优雅、端庄匀称的信件,会留给人一种良好的印象,促进双方的进一步往来,直至交易的达成。

商务电子邮件写作的八类典型问题

句子结构:原邮件的最后一句“Any querries pls let me know.”不符合英语写作的语法规范。该邮件并非是一封好友之间问候、闲聊的信件,故应采取较为正式和规范的语言。这句话应改成“If you have any questions, please let me know.”更合适些。原邮件的其他句子结构问题不大,主要是时态和语态问题(在下文“时态语态”里会阐述),不会影响理解。

内容表述

在阐述邮件内容时,应尽量做到明确、准确、完整、简洁。

明确、准确:邮件要写得清清楚楚、明明白白,毫无晦涩难懂之处,这样收信人看了信后才不会误解写信人的意图。原邮件“The following is the training arrangement,which has confirmed with Dixon.”这句意思因为语法错误而变得不够明确,改成“The training schedule, topic and venue, which have been confirmed with Dixon, are as follows:”后,意思明白晓畅。此外,还应避免或尽量少使用一些语意模糊的词语或短语,如 ASAP等,以免引起不必要的纠纷。

完整、简洁:邮件的内容应力求完整而全面,提供所有读者所需的信息。同时也应使邮件内容简洁明了。原邮件内容简洁但不够完整。在提出课程的同时,也应简单介绍一下课程的特色,修改后邮件中加了“It will be an ideal course for you to learn about the Columbia Product and also to improve your training skills.”,这样读起来内容显得完整。

时态语态

英文时态语态和汉语不一样,它是通过动词的形态变化和其他辅助手段来实现的,而汉语主要通过一些助词和介词,如:“了、呢、过、给、被、由”等来体现时态、语态的变化。正因这一差异,国人在写英文邮件时往往受到母语的干扰,犯时态语态错误。

时态:邮件第一句中的动词“focus”若按原句写的话,应改成“focuses”;第二句若按原句写的话,句中“is”、“has”应分别改成“are”、“have”。

语态:原邮件中“The following is the training arrangements,which has comfirmed with Dixon.”后半部定语从句应改成被动语态“The training schedule, topic and venue, which have been confirmed with Dixon, are as follows:”,否则难以理解。

语言风格

语言风格主要可以从是否自然和是否正式等两个角度来评估。邮件正式与否取决于邮件的写作目的和写作场所。若是正式邮件应通篇保持正式写作语气,若是非正式邮件应通篇保持非正式写作语气。本文中范例邮件就写作目的和场所而言,应该算是比较正式和规范的邮件。

原邮件中“Pls offer the participants list of your team to me today.”这句因为用了缩略语“Pls”而显得不够正式。而“Any querries pls let me know.”这句因为有语法错误不够规范。“Yrs Sincerely”最为别扭,不伦不类,本身属于正式用语,里面却夹杂着极不正式的手机短信用语“Yrs”。此外,作者竟然用汉语时间表达习惯来写英文邮件“2005-3-22”,明显不规范。

邮件格式

商务电子邮件的格式比起一般商务信函的格式要简单一些,格式主要按以下几部分编排:“标题(Subject)”、“称呼(Salutation)”、“开头(Beginning)”、“正文(Body)”、“结尾句(Ending)”、“礼貌结束语(Complimentary Close)”、“写信人全名(Writer誷 Full Name)”、“写信人职务及所属部门(Writer誷 Title and Department)”等。这部分只要分别对比原邮件和修改后邮件,读者不难分辨孰优孰劣。

此外,还可以通过使用小段落和加段落的小标题、使用列举符号罗列具体信息、使用星号或下划线强调重点内容以及段落与段落之间空行等手段来做到格式更完美。

标点符号

在邮件写作中标点符号往往被忽视或不知如何处理,殊不知标点符号的作用之大,有时能带来相反的效果。且看以下两封邮件,措辞完全一样,但因为标点符号的位置不同而内容变得截然相反。

“Dear Jack: I want a man who knows what love is all about.You are generous, kind and thoughtful.People who are not like you admit to being useless and inferior.You have ruined me for other men.I yearn for you.I have no feelings when we’re apart.I can be forever happy — will you let me be yours? — Jill.”

而在本文提供的原邮件中也出现了多处标点使用不当,如:“arrangements”的逗号后面应空一格;“date”、“topic”、“venue”后面要加冒号;“Yours sincerely”后面要加逗号。

字母大小写

字母大小写在邮件写作中也往往被忽视。以下原邮件中的词语第一字母应大写:标题中的“product training announcement”、称呼中的“dear”、邮件主体中的date、topic、product、training、venue、meeting-room等单词首字母都应该大写。

商务英语电子邮件尽管具有非正式的特点,但它仍应具备正确性和严肃性。由于篇幅有限,本文对商务邮件中常出现的八类问题讲解也只是抛砖引玉。希望大家在看完本文之后有所裨益,能够养成写完邮件后检查邮件的习惯,从以上八个方面好好斟酌自己的写作,不断修改,做到精益求精、沟通无障碍。

英文电子邮件的基本要素是主题、称谓、正文、结尾用语及署名。

电子邮件最重要的部分是主题,假设我们都是很忙的人,在打开邮箱阅读邮件时,第一眼看到的就是邮件的主题。所以,主题应当做到言简意赅并突出邮件重要性。英文邮件的主题需要注意不超过35个字母,将位于句首的单词和专有名词首字母大写。比如:Some questions about C++.在比较正式的格式中,需要把每个单词的首字母大写(介词、冠词除外)。

称谓如果是第一次给对方写信,那么称谓最好用“Dear+全名”,这样会让人感觉比较正式。如果对方以非正式口吻来信,我们也可以类似非正式地回复。比如:“Hello/Hi Lillian”。在实际通信中可能遇到不知道对方姓名,可以用“Dear+对方头衔”,如“Dear President”,或者“Dear+Sir/Madam”形式。英国人习惯在称呼后加“,”,美国人习惯在称谓后加“:”,有时也可以不加任何标点,是具体情况而定。

在书写正文时,把最重要的事情写在正文最前面或者邮件内容较长时写在第一段。为了让收件人阅读邮件比较舒服,我们需要注意邮件正文结构的美感,邮件段落最好控制在两三段之内。如果一封电子邮件涉及多个信息点,我们可以采用分条目的方法,如符号、小标题、编号来使得邮件想要表达的内容层次清晰。邮件内容应注意单词的拼写、大小写、标点、语法等。所谓以小见大。

1、可读性:对象是大学程度的话,用高中的英文就行,不要以为人人都是语言大师,多用短句(15-20字吧),技术性的字,就更加要简单易明.2、注意段落的开头.一般来说,重要或强调的事情都放在信件或段落的开头,而句子就放在最尾.例如:(1).Because he was unable to attend the meeting personally, he forwarded his congratulations on cassette tape.(2).He forwarded his congratulations on cassette tape because he was unable to attend the meeting personally.两者强调的事情就有分别了.3、轻重有分,同等重要的用and来连接,较轻放在次要的句子里.4、意思转接词要留神.例如: but(相反), therefore(结论), also(增添), for example(阐明).分不清furthermore和moreover就不要用啦.5、句子开头不要含糊不清的主词。

同的是,正文中一般不用Hello!(你好!)正文有缩进式和齐头式两种。每段书信第一行的第一个字母稍微向右缩进些,通常以五个字母为宜,每段第二行从左面顶格写起,这就是缩进式。但美国人写信各段落往往不用缩进式,用齐头式,即每一行都从左面顶格写起。商务信件大都采用齐头式的写法。
