【摘要】

随着中国国际贸易的迅猛发展,商务信函在国际商务活动沟通中的作用越来越重要。影响国际商务活动结果的因素有很多,但恰当、得体、礼貌的表达是决定商务活动成败的重要一环,因此委婉语在商务信函中的作用不容忽视。不同文化背景下的委婉语都有着相同的功能,那就是用含蓄的表达来代替可能令人产生不愉快的语句。为了使人们对英语委婉语有足够的认识,本文将从词汇和句式两个方面分析商务信函中委婉语是如何实现的,并介绍给企业和个人带来的好处。目的在于让人们知道委婉语在商务信函中的地位并帮助人们熟悉和掌握信函中委婉语的使用,更好地促进贸易双方合作的顺利进行。

作为商务活动中的一种常见的语言现象,委婉语存在于各种商务交际活动中国内外关于委婉语的研究主要是从以下几个角度:语义学、社会语言学、修辞学、心理学、语用学,本文所论述的商务信函中的委婉语属于语用学,即将委婉语置于某一种特定的语言环境中进行研究。随着我国国际地位日益提高,我国对世界市场的影响日益增强,与各国间的商务往来也日渐频繁,商务信函越来越发挥着不可忽视的作用,如何通过商务信函与客户建立长期友好的合作关系已经引起商务人员的重视。一封合格的商务信函有着多方面的技巧与要求,其中委婉语的运用是不可忽视的一环。用委婉的语气含蓄、礼貌、间接地表达自己的意见、愿望和要求,才能最大可能的留住客户。

1.委婉语

委婉语的英文是euphemism,这个词最早出现在希腊字典中。Eu是good的意思,phemism是speech的意思,所以euphemism的意思是nice words,也就是“好听的话”。

委婉语在《语言与语言学词典》中的定义是“用模糊的,使人感到愉快的表达代替令人不悦的或不够尊敬的话”。《语言学词典》中的定义是“用含糊的或温和的说法来表达粗俗的、直率的或是生硬的话”。作为一种广泛使用的语言技巧,委婉语存在于社会各个阶层、组织或行业中,用来调节并缓和人与人之间的关系。在商务活动交际过程中,委婉语的使用可以让对方感觉到礼貌与尊重,从而更好地促进人与人之间的交流,成功实现交际目的。

2.商务信函中委婉语的实现方式

人们需要借助词汇来表达所思所想。商务信函作为一种正式文体,自然也需要使用正式的词语。但是,过多的正式词汇会让人觉得生硬、严肃或是过于死板。因此在书写商务信函时应注意措辞,适当的使用委婉语可以营造出让人舒适的交流氛围,进而促进双方的合作。

2.1 委婉词汇

2.1.1感激词汇

商务信函中的感谢类词汇可以给人一种被尊敬、受礼遇的感觉。

E.g.1 we highly appreciate your sincere cooperation.E.g.2 thank you for your quotation of June 24 for 1000 tons of liquid.E.g.3 we are extremely grateful to you.在以上三个例句中,appreciate、thank、grateful这些词汇不仅仅传达出了句子的基本含义,也传达给对方一种愉悦感。但是需要注意的是,适当的感激词可以锦上添花,如果过多的使用感激词有可能让对方感到不真诚,弄巧成拙。

2.1.2模糊词汇

模糊词汇也是一种委婉词汇,在适当的情况下可以减小对方的尴尬程度。

E.g.4 we were more than pleased to receive your order NO.23 for TV.E.g.5 we regret to say that we cannot accept your offer.例4中的more than很好的表达出了无比感激之情。例5中的regret一词在避免直接拒绝的情况下表达出了我方对对方报价的不认同。这两个模糊词的使用均让交易双方处于愉快的合作氛围当中。

2.1.3情态动词

通过商务信函提出请求或建议时,使用情态动词会让该请求或建议听起来更礼貌得体。特别是某些情态动词的过去式如should、could、might,可以达到比现在时shall、can、may更佳的效果,使请求或建议更容易被对方采纳并达到互利共赢的合作目的。

E.g.6 it would be very kind if you could send samples to us.例6中的would一词很好的传达了我方希望对方寄来小样的意愿。同样地,在使用情态动词时应注意实际语境,根据语境要求使用合适的情态动词。

2.1.4书面词汇

在商务信函中,经常用书面词汇代替口语词汇,给人一种正式的感觉,可以让对方觉得我方很看重这次的合作。

E.g.7 the broken glass was due to improper packing.在例7中,货物破损是双方都不愿意看到的结果,也会对双方利益造成损害,但是写信放并没有直接指责对方的原因是不良包装引起的,错不在己,但写信方没有直接指责对方的在包装材料或方式上的处理失误,而是用improper一词,在既不伤对方的面子的情况下,又给对方一个台阶下,从这里可以看出写信方的严谨态度和体谅之心。既委婉地表达了卖方的过失,也暗示写信方愿意继续与对方进行贸易往来,从而推动合作的成功。

2.2 委婉句式

商务信函中的委婉句式主要包括被动句、虚拟句、否定句、过去式。

2.2.1被动句

作为一种英语中常见的语言现象,被动语态可以使语言更简洁明了。被动语态广泛应用于商务信函中,特别是在商务信函中表达拒绝、投诉、索赔时,若用主动语态来表述,会显得不礼貌,若用被动语态可以避免语气生硬,传达出委婉恭敬的态度,不仅可以保全对方面子,还可以表达我方的诚意。

E.g.8 however,we should remind you that this claim should have been submitted within four days of the accident in accordance with the terms of the policy.被动语态通过省略主语使对方关注点转移到事情上,例8中should have

been submitted的使用避免了直接指责对方的过失,不仅委婉地表达了我方立场,也避免了语言生硬,有利于达成双方交易。

2.2.2虚拟句

当就保险、装运、价格、索赔等需要达成一致时,建议、请求、命令等情况都不可避免,使用虚拟语气可以缓和尴尬的场面。为了客气、温和地提出请求、建议,虚拟语气在商务信函中被频繁使用,有利于开展长期业务合作。

E.g.9 if it were not for the regular orders we receive from a number of our customers,we could not have quoted for supplies even at those prices.例句中虚拟语气的使用大大地缓和缓和了交易双方的紧张氛围。礼貌含蓄的表达可以避免直接正面表达可能带来的冲突,从而促成交易达成,实现合作共赢的目标。由此看来,虚拟语气在商务信函中的作用不可忽视。

2.2.3否定句

在日常英语表达中,否定法会被经常用到,例如当认同一个观点时,用“不错”来替代“非常好”既可以表达对该观点的赞同又避免过于绝对。在商务信函中更是如此,用否定句委婉地表达自己的观点在商务信函中是十分常用的,并得以保持长久的业务往来和良好的合作关系。

E.g.10 we are very sorry not to be in a position to accept your order,but hope that you will understand our situation.不难看出,如果直接用refuse一次来拒绝对方的要求,将会影响双方的长期友好合作关系。

2.2.4过去式

在日常交流中使用过去式可以使表达显得更为礼貌得体,也使对方乐于接受。在商务信函中,如果用动词的过去式来表达询问、请求、异议、指责等意思,可以传达出谦和委婉的意思,可以在维护自身利益的同时,避免双方尴尬,从而促进长期稳定贸易关系的建立和双方谈判的顺利进行。

E.g.11 it would not be fair if the loss be totally imposed on us as the liability rests with both parties.过去式可以淡化语气,使意见或建议委婉并易于接受,从而让沟通有回旋的余地,进而保证双方的友好洽谈和磋商。

3.商务信函中委婉语的好处

第一,商务信函是呈现给客户的,委婉的、清晰的文字表达能给对方留下好印象,会让对方觉得你是一个懂得体谅他人、值得合作伙伴,会乐意与你进行合作,从而带来无限的商机。朴实、自然、亲切、得体的表达可以把自己想法更好地传达给对方。作为国际商务活动中书面交流主要手段之一,规范得体的商务信函不仅可以显示出一个人的语言应用能力,更能够体现他所在企业或公司的形象。

第二,在国际贸易实务中买方向卖房提出索赔是比较常见的,如错发漏发货物,逾期发货,货物的质量品质达不到销售合同要求,货物与样品不一致等。通常,在验收货物时若买方发现有问题,在明确责任后,若确实需要向卖方索赔,写信时的委婉语气可以让对方更容易接受索赔要求,从而帮助问题的解决

第三,众所周知,影响商务合作结果的要素中最基本的就是利益与双方人员的心情。利益是商务合作的目的,而心情则是这个目的是否能达成的关键因素。委婉语可以让合作双方带着良好的心情进行工作,为彼此争取回旋的余地,从而帮助建立长期友好合作的商务关系。相反,若双方仅仅只考虑自己利益而忽视对方的心情,必然会导致出现关系僵局,影响长期友好合作的商务关系。

综上所述,商务信函中的委婉语主要通过委婉词汇与委婉句式实现,其中委婉词汇包括感激词汇,模糊词汇,情态动词,书面词汇;委婉句式包括被动句,虚拟句,否定句,过去式。随着我国与世界各国贸易往来日益频繁,商务信函作为商务沟通中不可缺少的一环,越来越受到贸易双方的重视。商务信函中委婉语的使用可以促成双方友好合,加强彼此之间的联系,最终促进贸易的发展。
