外贸开发信退信原因排查

目前市场上非常多的客户会纠结在邮件被退这件事情上,直接抱怨、投诉公司产品有问题,遇到此类投诉,客服人员接到此类抱怨或投诉,先不要慌张,让客户排查下邮件退信是什么原因引起的,邮件退信都后都会有提示为什么退信的,如果客户不乐意,可以让客户发退信邮件给到我们,帮助客户做好分析。

(1)收件人地址不存在错误原因: 收件人邮箱帐号不存在或收件方服务器无法找到收件人邮件地址

可能出现的关键字: No such user、user unknown、unknown or illegal alias、account inactive、user not found、Invalid address、invalid recipient、not a valid mailbox、mailbox cannot be delivered

解决方法: 由于在该网站中无法找到要投递的用户地址,因此该邮件无法正确投递到该地址中让接受者接收出现了此退信。可能是由于写错了email地址,请确认该地址的输入是否正确,或者同收件人确认是否其email地址。确认无误后重新投递即可。

(2)收件人邮箱被禁用

错误原因: 收件人用户邮箱被禁用或者不可以使用,可能长时间未登陆使用过,或者未交费等原因导致邮箱帐号被冻结

可能出现的关键字: disabled

解决方法: 联系收件人,请他联系他的邮箱系统管理员确认收件人邮箱问题

(3)收件人信箱空间不足

错误原因: 接收方已经没有足够邮箱空间接受新邮件

可能出现的关键字: mailbox is full、exceed、hardlimit

解决方法: 收件人邮箱已经没有足够的剩余空间接收您的邮件,请使用其他的方式与收件人联系,请接收方先清除邮箱中没用的邮件,腾出空间接收新邮件

(4)邮件被过滤

错误原因: 对方对接受的邮件作了限制,您的邮件超出了对方的要求或是对方服务器的要求。

可能出现的关键字: not welcome、content rejected、Message blocked、Recipient reject、No welcome message from****、Mail refused/Box is busy

解决方法: 出现 not Welcome/message blocked/content rejected 等信息的原因是收件人在邮箱中设定了一些过滤规则,而你所发的邮件中的信息如“发件人姓名”、“发件人地址”、“邮件主题”、“邮件正文”、“附件”等中的信息符合该收件人或收件人的服务商设置的过滤规

则,因此导致邮件在投递后被对方系统拒收。

请把自己所投递邮件做适当的修改,如发送的“邮件主题”等。如果尝试过还是不能正常发送,最好通过其他方式联系收件人,把退信信息提供给收件人查询具体是符合了什么样的过滤规则,确认后进行适当修改就可以正常发送了

(5)域名解析出错

错误原因: 对方服务器或者对方域名有错误,或者域名信息无法正确的被internet的DNS系统解析,无法找到对方的邮件服务器IP,导致投递出错

可能出现的关键字: Host、not found、bad host、domain、unreachable、Connection refused

解决方法: 首先请检查输入收件人地址时的是否存在拼写错误,确认错误后重新发送就可以解决了。相当部分退信存在这样的情况。

确认收件人地址没有问题的时候,还可能由于收件人服务器的域名信息由于DNS失效、更新失败等等原因造成域名解析不正确。具体可以通过nslookup命令等方式查询收件人邮箱域名的mail exchanger进行确认。对于这种情形的话,需要通过其他途径联系收件人,收件人通知自己的服务商管理维护人员修订DNS错误后就可以正常发送了。

(6)无法识别的命令

错误原因: 无法识别错误命令(邮件系统指令)

可能出现的关键字: error in command、syntax error、Error email address format

解决方法: 其原因多数是由于发件人使用的软件或者发送系统在投递连接对方系统时候,对方系统无法识别此软件或者发送方系统的指令导致发送错误。

请使用常用的软件如Outlook Express或者Foxmail等进行邮件编辑,或者直接使用WEB的方式发送邮件,可以减少出错的机会。

有时由于发送者填写接收者地址时候输入了非法字符如“””“/”“”“^”等非法字符也可以导致此类无法成功发送

(7)发送的邮件大小超过最大限制

错误原因: 由于发送人的邮件过大导致接收人的邮件系统服务商拒收此邮件

可能出现的关键字: exceeds、maximum message size、Data size

解决方法: 通常此类错误都是由于收件人邮件系统不支持他们系统中的用户接收太大的邮件。因此用户可以把过大的邮件附件使用outlook express的邮件分拆功能进行分拆发送。通常后面跟的数字就是对方系统所允许接收的单个邮件的大小。

(8)邮件被拒收

错误原因: 由于发送方的邮件被接收方的系统服务商拒收此邮件

可能出现的关键字: banned、isn't in my list of allowed rcpthosts、domain is not welcome、Connection refused、Relaying denied、spam、spammers

解决方法: 由于对方系统把发送的地址、域或者IP地址列入拒收列表中,使得从此地方寄出的邮件被拒绝接收的情况。

当遇到此情况,建议联系对方系统管理员,尽快解决此类屏蔽问题。

(9)单封邮件收件人数超过限制

错误原因: 单封邮件有过多收件人

可能出现的关键字: Too many、less than xx

解决方法: 邮件系统会对每一个邮件投递者每次连接时候的同一封邮件的多投用户数量,因此当用户使用群发时候就会出现对方拒收或者错误的信息返回如“Too many recipients”信息。因此用户请再每一封邮件投递时候,尽量使得每次的接收用户数量控制在5~20人左右,如果接收量比较多的情况,可以分开多几次发送。

外贸营销人员实际发信情况的调查,大多数人每天发信在50封以上。写作得非常好的外贸开发信,应该有5%以上的回复比例,但是如果是1%或2%回复的情况,也算可以的成绩了。如果低于1%,就值得你好好进行认真细致的深入检讨,或是花钱请相关专家提供切实的修改建议和意见。

所以,你不要期望通过外贸开发信一朝成就你的外贸事业。很多时候,你发了100封邮件才有一个回复仍然属于正常范围。有些人一天发300封邮件,但是效果很不明显。如果是群发邮件,出现这种情况也不是特别的出奇。如果你都是一对一的有针对性地发送外贸开发信,有回复的比例应该比较高,至少应该不低于5%,除了有兴趣的回复,还包括礼貌拒绝的回复。

外贸开发信是否有效的唯一标准是:回复率与下单率。

从外贸实践中看,随着国际贸易竞争的激烈、外贸开发信的泛滥,导致成功率不断地下降。外贸开发信就象体育比赛一样,谁的进攻能力强,谁就容易得分;谁的防守失误少,谁就容易取胜。客观地讲,外贸开发信是个苦差事,所以基本都是些外贸菜鸟在操作,由于能力缺乏而错误百出。

竞争是个相对的概念,在中国外贸营销的总体水平极差的条件之下,你只有尽量少犯些错,就能超越同行。以下是罗列的是:针对潜在客户的、主动性质的外贸开发信所可能有的错误,以及其扣分标准。若按100为满分的话,很多外贸开发信都是负分状态!请对照检查并切实改进。

外贸开发信撰写之大错(战略层面,一个扣30分):

1)缺失标题,或标题很弱、缺乏冲击力:对方根本没有兴趣点开 2)过于自我的态度,没有突出“you“:被视为没有任何价值、立即被删 3)假大空文风、企业口号式宣传:令人厌恶、被当成骗子或弱智

外贸开发信撰写之中错(策略层面,一个扣20分):

1)低声下气、缺乏底气:清朝灭亡已97年了,奴才还占据了CCTV的荧屏与很多人的思想。生意不是求出来的,而是积极争取去做出来的。所以,外贸开发信要写得礼貌但不要卑下。2)缺乏行动召唤:不是报个网站链接给对方就万事大吉了,要充分说明,对方为什么要看你的网站?

3)老古董文:见绝大部分外贸函电教材。

4)技术资料堆砌:再便宜再高质,不与对方的想法联系起来,别人不会有兴趣。5)文体或调子随意而为:外贸开发是严肃的商业行为,要亲切自然但不是率性随便。6)其它:(暂时想不起来,看到再补充)

1)先做容易的!养成反复检查所有单词、语句、标点符号的优良习惯。细小方面要坚决做到零错误!

2)再做最有价值的战略研究:对方是谁?对方希望的是什么?(绝对不是很多人所习惯啰嗦的 we we we our our our I I I 等字眼)

外贸开发信发送之心态

1)积极发信:在不降低质量要求的情况下,多多发送,天天发送。这是获得大量潜在客户的根本方法。

2)耐心等待:无谓的担心和期盼是浪费时间,发了之后就是等待,收获是自然而然的。要想有多的回复,就只有在深入研究外贸开发信写作技巧的基础上,尽量多发送、不间断地发送,要相信“功夫不负有心人”的古训。

3)精心回复:外贸开发不是一锤子的买卖,第一封开发信得到的往往只是询问式的回音,需要你根据不同的情况,预先组织好相关的文字,再针对对方的询问精心做出精准的回复。细节决定成败,不要让好不容易得来的潜在客户第一声回音,变成最后一次的绝响。

4)规律跟进:需要按一定的时间间隔和内容,不断有规律地跟进客户。注意行业新闻、节假日、客户生日等有意义的日期,这些都是跟进的好时机。作为专业的外贸企业和外贸人员,你要定期准备联系客户和潜在客户的通讯(newsletter),用以分享信息、联络感情。

阿里上面需要的是曝光量,你的产品越多,被浏览到的概率越大,收到询盘的概率就越大。可以把同一个产品发好几十遍,但是关键词设置不一样,第一个可以设成cellphone accessory,第二个设成mobile charger,第三个设成charger,第四个设成mobile accessory,第五个设成promotional charger,第六个干脆设promotion,第七个设premium,第八个设gift,第九个设promotional gift,第十个设souvenir,第十一个设mini gift,第十二个设usb charger,第十三个设usb item,第十四个设promotional item,„„总之一个产品你重复发个几十遍,设的关键词不一样,那不同的客人输入不同的关键词都能搜到你。曝光量迅速增加后,询盘自然大大多起来了~~

价格谈判:

要你做sales,价格永远是一个绕不开的话题。老外永远都会嫌贵,做生意的老手更懂得如何一轮一轮砍价,为自己争取最大利益。

我以前听到这句话,总会笑笑,然后对老外说,“I think so, that's a little expensive, but...” 先同意他的观点,表示价格的确有那么一点点贵,但是„„。请注意,他说too,我说a little,这样一来,你一同意他的观点,你们之间的谈判氛围就会略微不那么紧张。然后等你转折以后,你要做的就是“让他有赢的感觉!”你可以解释给他听,我们的产品为什么要卖这个价钱,差别在哪里,优势在哪里。如果他嫌贵,你可以在改动某些材料、配件甚至包装的情况下把价格降下来,但是你不希望他采购这样的产品。

然后你可以给他适当的调整一些细节,换一套方案,然后给他有赢的感觉。

价格谈判的核心就在于双方都要有赢的感觉。对方感觉自己赚到了,订单就会给你了。如果你让他觉得吃了很大的亏,那你绝对不是一个谈判高手!

价格当然重要,但永远不是真正的最关键因素。最关键的是客人的采购欲望和他的预期利润!

所以在报价以后,如果你有十分详细地市场反馈信息,或者别的客人的销售情况,绝对是增加他购买信心的一个有力证据!

比如说我推一款灯给波兰客人,这个产品我先前有卖给过德国的供应商,他们在德国的售价多少,销售情况怎么样,在多少家零售店出售,库存情况如何?你要给客人一揽子的销售建议,比如包装怎么做,或者怎么展示,要让他有信心去销售你的产品。或者告诉客人,如果他对产品或包装等方面有不满意的,你们可以为他量身定做几套方案,由他来选择。这样客人会感觉你们非常专业!
