第一篇:电邮的书写与回复
電郵的書寫與回復
1.收件人及CCList: 郵件要發給以及CC給到正確的人,要讓對方處理及解決事情的人名應放在收件人List, 需要讓對方知悉的人名放在CC List。重要的人名放在前面。(沒有必要收此件的人,尤其如一些Group Address,要刪除掉)
2.主旨:在發送及回復郵件時須有主旨。如對方的郵件沒有主旨,在回復時要加上主旨。主旨應該言簡意賅,符合郵件內容。
3.稱呼(问候):發送及回復郵件必須要有稱號,此亦是對收件人的尊重。根据你与收件人的关系亲近与否,你可能选择使用他们的姓氏来称呼他们而不是直呼其名,例如“Dear Mrs.Price,”。如果关系比较亲密的话,你就可以说,“Hi Kelly,”
4.內容:郵件內容要簡明扼要,表達清楚完整。問題以點列出,1.2.3.,回復時亦是針對每點一點一回答。回復郵件時,要在正確的郵件上回復,不要隨意另起新的郵件回復。在回復對方有附件的郵件時,如果回復時可以不帶附件了須將附件刪除。
5.結束語:你结束邮件之前,再次感谢收信人并加上些礼貌语结尾。你可以“Thank you for your patience and cooperation.”或“Thank you for your consideration.”开始接着写,“If you have any questions or concerns, don't hesitate to let me know.” 及“I look forward to hearing from you.最后是写上合适的结尾并附上你的名字。”Best regards,“ ”Sincerely,“及”Thank you,“都很规范化。最好不要用”Best wishes,“或”Cheers,"类的词因为这些词都常用在非正式的私人邮件中。
6.最后,在你发送邮件之前,再檢查一下收件人、主旨,再读一遍你的内容并检查其中有没有任何的拼写错误,这样就能保证你发出的是一封真正讓人看到是比較規范的邮件!
7.注意事項:郵件回復的時間,當天的郵件最好在當天內回復到客戶、供應商及同事,如不能回復到其中內容,亦需回復對方何時能給到其需要的信息。

英文电邮写作技巧
A.文法上
1.切忌主客不分或模糊.例子: Deciding to rescind the earlier estimate, our report was updated to include $40,000 for new equipment.” 应改为 Deciding to rescind our earlier estimate, we have updated our report to include $40,000 for new equipment.(We决定呀, 不是report.)
2.句子不要凌碎.例子: He decided not to audit the last ten contracts.Because of our previous objections about compliance.应该连在一起.3.结构对称,令人容易理解.例子: The owner questioned the occupant's lease intentions and the fact that the contract had been altered with ink markings.应改为: The owner questioned the occupant's lease intentions and ink alterations of the contract.4.单众数不要搞乱,不然会好刺眼,看不舒服.例如: An authorized person must show that they have security clearance.5.动词主词要呼应.想想这两个分别: 1.This is one of the public-relations functions that is underbudgeted.2.This is one of the public-relations functions, which are underbudgeted.6.时态和语气不要转变太多.看商务英语已经是苦事,不要浪费人家的精力啊.7.标点要准确.例如: He did not make repairs, however, he continued to monitor the equipment.改为: He did not make repairs;however, he continued to monitor the equipment.8.选词正确.好像affect和effect, operative和operational等等就要弄清楚才好用啦.9.拼字正确.有电脑拼字检查功能后,就更加不能偷懒.10.大小写要注意.非必要不要整个字都是大写,除非要骂人,:,例如: MUST change to OS immediately.外国人就觉得不礼貌和喝令人一样.要强调的话,用底线,斜字,粗体就可以了.B.文体
1.可读性.对象是大学程度的话,用高中的英文就行,不要以为人人都是语言大师.多用短句(15-20字吧), 技术性的字,就更加要简单易明.2.注意段落的开头.一般来说,重要或强调的事情都放在信件或段落的开头,而句子就放在最尾.例如:
1.Because he was unable to attend the meeting personally, he forwarded his congratulations on cassette tape.2.He forwarded his congratulations on cassette tape because he was unable to attend the meeting personally.两者强调的事情就有分别了.3.轻重有分.同等重要的用and来连接,较轻放在次要的句子里.4.意思转接词要留神.例如: but(相反), therefore(结论), also(增添), for example(阐明).分不清furthermore和moreover就不要用啦.5.句子开头不要含糊不清的主词.例子: These decisions have been a big disappointment to the committee members.They have delayed further action.They是指什么呀开头少用this, that, it, they, 或 which.6.修饰词的位置要小心,例如: He could only reimburse the cost after July 15.应为 He could reimburse the cost only after July 15.7.用语要肯定准确.切忌含糊.例如:The figures show a significant increase.” 怎样significant呀,大哥? 改为: The figures show an increase of 19%.8.立场观点一致.少用被动语.例如: Partial data should be submitted by April.改为: You should submit partial data by April.就很好了.C.格调
1.式样和句子长度不要太单调.千篇一律的subject-verb-object会闷死人的.有时短句跟着长句可以化解一下.2.弱软的词(e.g.was, were, is, are...)可以加强一点.例如: Prunton products are highly effective in...改为: Prunton products excel in...就有力很多了.3.亲切,口语化是比较受欢迎!用宾词和主动的词,让人家受落.例如: 1.This information will be sincerely appreciated.” 2.We sincerely appreciate your information.明显地,我们会喜欢第2句.第一课

1。注意 prompt means: done or acting quickly and without waiting, or arriving at the correct time.意思就是及时的尽快的。A prompt reply 就是尽早答复的意思。
2。facilitate means: to make something possible or easier就是促进的意思
这句话就有点我说的每个字都认识,但是连起来就不认识的那种感觉,其实这句就是:“为了能更好的准备这次会议,请贵方尽快答复”

3、hospitality you extended: extend means to give someone an invitation, thanks, etc,这个短语就是正统的 承蒙您的热情款待

5、bring to mind again:再次使人想到
6、I look forward to doing...:期望。。
7、mutual benefit:共同利益
注意感谢信的写法,先引出感谢的原因,然后在提及感谢的具体事项,然后在表达期望。注意文中的一些正统礼貌固定用法

1.It was indeed a pleasure to have the opportunity to meet you while you were in Hong Kong.注意:indeed这个词是我的本地员工经常用的,就是一种夸张的语气,中文就是确实的意思,呵呵,有什么事情需要确实来修饰呢,老外和中国人一样,都很虚伪,这句用在比自己级别高的人,表达一种尊敬,不要小看这些虚伪的东西,当了领导的人,久而久之就喜欢这些东西
3.It was nice to have a chance to get together with you during your recent trip here.这句语气比较缓和
以上还是感谢信的一种,里面有很多熟悉的用法,只是针对不通场合有不通的感谢方法。表面上看这些感谢信都非常简单,但是要写的精干高效,也确实不容易。

还是一封感谢信,主要用于对出席人的感谢,其中有几个表达方式比较特别

2。taking the time and trouble to join us.承蒙您抽出宝贵时间参见。。的经典表达方式
3。Being able to...注意这个简练的表达方式,因能。。
4。occasion:再次注意这个词语,“时光,机会,场合”的意思
5。all the more meaningful意义更加深刻
6。being afforded=being given,但是更正式。
7。I would very much appreciate being afforded the chance to reciprocate the courtesy at some appropriate time.注这句英文思维的方式和中国人刚好是反的,中国人会这么说:如果在合适的时机我有机会回报此番盛情,我将非常荣幸。大家注意一下,中国人说话先绕弯子,然后再点题,而老外直接说I would very much appreciate,然后是being afforded the chance to reciprocate the courtesy at some appropriate time,也就是先点题,我什么荣幸,然后再说原因,为了什么荣幸!再注意句中的分词被动语态being afforded的用法也能体会到英语的味道,中国人很少说被给机会去干什么,这就是中国英语和英国英语的区别之处

昨天工作上遇到和我的外籍客户协商的事情,今天就协商方面和大家一起学习
Allow us to begin by thanking you for all you have done to secure a foothold for our products in your market.Your ability to maintain sales despite the negative factors affecting our business is highly regarded here.We have also had our troubles.The biggest of these has been the sharp depreciation in the value of the U.S.dollar on which all our prices are based.Every effort has been made to absorb this drop in revenue through cost reduction measures.However,with the depreciation now reaching 20%, it has become impossible to unilaterally adsorb these losses.Consequently, we have decided to raise our export prices 10% across the board effective April 1.We realize this will not make your situation easier.However, please consider the fact that we have been running in the red for three months now.Also, bear in mind that by asking for only 10%
we are seeking to share and not shift the entire burden.Your understanding and cooperation in this regard will be very much appreciated.【注释】
1。协商信件的构成为:先对对方平时的努力表示感谢,其次说明目前的情况和困难,并给出解决方法(本文就是通知提高价格),然后说明道理,并非推卸责任而是合理分担困难,最后要求理解和配合2。Allow us to begin by thanking you for...对比前几课,这又是一种客套的开头表示感谢的方法,大家可以换着用用
3。secure a foothold:巩固阵地,本文就是稳固了我方产品在你们市场中的地位
4。be highly regarded:注意这个用法,我的本地员工也经常用这个短语,就是一种恭维,就是中国人说的什么什么受到了高度评价,英语里面用被动形式,仔细看看本为中Your ability to maintain sales despite the negative factors affecting our business...这个主语比较长,去掉修饰就是 Your ability is highly regarded.贵方(修饰)能力是高度赞赏的。这个结构大家可多用,具体修饰不讲了,自己根据自己的情况可以扩充。
5。We have also had our troubles.开始说自己的困难了,用了现在完成时态,个人理解是要表达我方的困难不是现在才有,是很久之前就有困难。然后紧接着展开具体困难
6。Every effort has been made to absorb this drop in revenue through cost reduction measures.这个结构也值得大家体会英语的味道,我们总喜欢说,我们采取了什么什么措施...我们喜欢用主动的语态,但是老外强调这些措施被采取,总是喜欢用被动语态,大家体会下。另外注意一下absorb这个词,引申为承担的意思。
7。it has become impossible to unilaterally adsorb these losses.如果按照我的思维,我可能这么说 We haven’t unilaterally adsorb these losses。但是这样看起来就非常主观,并且语气非常强硬,老外把可观的事实作为主语用 it引导的主语从句来表达,就显得很客观了,我没有学过什么经贸英语,就是自己瞎体会。
8。accross the board:全面的,一律的9。We realize this will not make your situation easier.Howevre...这个也是个比较好用的东西,我方意识到...并不能使你方情况变得轻松,昨天我在给我的客户的邮件里面用了类似的表达:I am aware, Mr.Joshua, that this explanation might not put your mind at easy.这种谦逊的做法,在协商信件里很好用,能争得对方的谅解,然后however或者but一下,话锋一转,开始提出解决问题的办法或者建议了,让对方考虑接受。具体内容大家自己看。说一个短语to share and not shift the entire burden:是分担困难,而不是推卸责任。注意shift
10。Your understanding and cooperation in this regard will be very much appreciated.我觉得regard这个词很有味道,我们的本地员工常用,这个管用结束语,大家记住就OK了,至于那个in this regard我就当个套话,也不住掉什么具体意思,我理解为,在这方面。。整句意思是,我方对贵方的理解和配合表示感激,老外还是用被动,不用主动方,呵呵,学者别人写就OK了
很多mail都是工作相关的,还不好摆上来,其实我们公司平时写信还没有那么文邹邹的,都是一些白话,希望更能帮助大家吧。

1。As discussed with you:代表已经和你讨论过了,就好像我们平时说的和你提过的那个。
2。enclosed:楼主说过了,这边看习惯,有人喜欢说enclosed,有人喜欢说attached
3。the fault report.....which I generated....:最简单的定语从句,主要想说一下generate report,生成报告,出一份报告。
4。specially:强调一下,有时候也说highlighted,表示强调。
5。remedial action:补救措施,有时候也说try to make up for my carelessness.6.facing problem:多简单啊,面对问题:)
7。rectification:也是一些修改的意思,很多时候老外写信就讲究用词不重复,一封信同一个意思的词语很少有重复的。比如他们说一个困难的东西,从difficult ,hard ,tough ,到complicated,time-consuming,反正好多不重样的。这个就需要平时多积累一点。
8。结尾一般都是best regards,写信的格式,不过我们公司一般很多人都是做的signature,基本都是Thanks&Regards!
第7课】
再继续一个协商方面的邮件。本次的重点是尽管对方的行为对目前的形势不利,但是考虑到长远利益,还是接收了对方的行为,并就此表达了己方意见,和由此带来的后果。We have reluctantly decided to accept your proposel to raise the price of the AK-7C and AK-7CX micro-processors by 8% effective June 1.Please understand that the increase at this time cannot help but depress sale considerably.It will also hurt our image with our customers, who may just choose to switch suppliers.Nevertheless, rest assured that every effort will be made to minimize the damage.【注释】
1。这种邮件先给出结论,同意还是不同意。然后马上表达对方的行为可能产生的影响,以表达己方意见,最后从长远利益正视问题,给出明确的态度。
2。have reluctantly decided to 勉强决定,很不情愿接受,现在完成时表示在做出决定前花了相当长时间
3。your proposal:你方提案,对于单方面的提议,建议,提案都用proposal这个词
4。注意一个用法,effective+(日期)从什么日期生效,上一课也有这个用法,没有讲到,今天点一下
5。Please understand that...要求理解的句式,这个句子表达出来的语气还算客观,不具生气的语气,但是可以引出己方的意见。
6。the increase at this time cannot help but depress sales considerably,此刻提价对销售没有任何帮助,只能产生不良影响。depress sales 对销售产生不良影响,depress 这个词比较有意思,值得注意;considerably=substantially,相当的,非常的。
7。hurt our image with our customers,hurt our image with...损坏...对我们的形象
8。may just choose to switch suppliers,体会一下just的意思,表示一种立刻马上的意思
9。Nevertheless,尽管如此
10。rest assured that every effort will be made to minimize the damage.有意思的来了,rest assured 居然是请放心的意思,怎么从字面上也看不出请放心这个意思,你说老外写的这么简单,你能看懂吗,呵呵。另外,every effort will be made to minimize the damage.又是个被动用法,只强调我方努力这个客观事实!以后大家记住了,就这么用!不要说我们怎么怎么努力了,而是我方的努力将被怎么怎么。。呵呵

在发送邮件之前一定要深思熟虑。专家表示,由于电子邮件不像书信那么正式,因此很多员工并不太在意工作邮件的语气和行文,而这么做会有损个人的职业诚信度。
你写的邮件会给你的经理、同事、客户和可能的招聘人员留下印象。漫不经心的邮件可能会让人觉得你的纪律性不强,而且还可能会引起同事们的误会。找工作时,一封写得很糟糕的邮件会降低你得到工作的可能性。
因此,当你下一次写邮件的时候,要牢记以下几条“经验法则”:
1.写作风格:国际零售巨头蓝玛克集团(Landmark Group)印度公司的人力资源主管温卡塔拉马纳(Venkataramana B.)表示,“大多数年轻人往往会把手机短信中的一些非正式用语用到电子邮件当中。”这可是工作邮件的大忌。
在写工作邮件的时候,要遵循语法和拼写的规则,避免使用俚语、首字母缩写或者用字母“u”替代“you”等简写形式。
在发送邮件之前要认真检查是否存在拼写错误。避免使用很多的感叹号,因为那样看上去可能会显得不成熟。不要用大写字母来写邮件,因为这样容易让对方感觉你像是在吼叫。

3.主题:缺少主题或者像“你好”或“我有一个问题”等模糊不清的主题会让忙碌的收件人觉得厌烦。而且,这也会让收件人在收件箱里查找你的邮件变得更困难。
邮件的主题要明确,如果是紧急邮件的话也要一并说明。不要写“我有一个问题”,而要写成“我的假日计划;非紧急”。
同时,主题不宜过长或过于详细。
另外,不要在同一封邮件中讨论主题之外的其他新话题。这也会使根据某一特定问题查找邮件变得困难。最好通过发送单独的邮件来讨论不同的话题。
4.写对对方的称谓:如果你在邮件的正文中把收件人的姓名拼写错误,或者更糟糕地把一位女士称为“先生”,那么很可能会惹恼对方。在邮件发送之前,切记要反复检查收件人姓名和职务的拼写正确无误。如果你不确定收件人是男是女,那么就可以光使用他/她的名字,或者使用其全名。

最常见的问题之一,就是你的信息已经让不应该看到它的人收到了,而你自己却可能还没有意识到。
设想一下,当你想要开某人的玩笑或者向一位同事抱怨你的老板时按下“全部回复”键会是怎样的后果吧。即使是多年使用电子邮件的人也有可能会犯这种错。
辛格说,有时候,员工们使用“全部回复”键是因为“他们想要向别人展示他们做了一些工作,他们向所有人转发邮件”,但那只会加大收件人邮箱的负荷,而且还可能让人生厌。
不要频繁使用“全部回复”键,而且在使用之前要三思而后行。
6.“发送”之前请确认:电子邮件转发起来很容易,因此很可能最终会有你意想不到的人读到你的邮件。在发送之前要反复认真地阅读你写的邮件,确保它不会冒犯到别人,而且不要在邮件中写一些可能给你带来麻烦的话。
邮件不是你宣泄感情的地方。不要匆匆忙忙地发出愤怒的邮件,因为随后这可能会给你带来困扰。温卡塔拉马纳建议说,如果你需要回复一封无礼的邮件,那么就要认真地“起草邮件,通读一遍而且在你冷静下来以后再按下发送键。”总的说来,最好要避免发出这类邮件。
7.及时回复:回复一封邮件的迅速程度通常取决于邮件的性质。一般情况下,你应该立即回复。如果你无法立即回答一个特定的问题,那么就应该回信表示你已经收到了邮件,然后告诉对方一个你预计能够做出回复的时限。
房地产公司Mantri Developers Pvt的销售主管斯耐哈•曼特里(SnehalMantri)说,“理想的话,你应该在24小时内做出回复。”
8.邮件发送后忌打电话:你可能想要给刚刚发出那封邮件的收件人打个电话,但是最好是打消这个念头。这么做可能会让收件人感到厌烦。
要给收件人几个小时、甚至一天的时间去考虑并做出回复,不论你是多么急切地希望他做出回应。如果事出紧急,就要在邮件的主题中注明。
如果有什么事的话——如果是一件紧急的事——可以先给收件人打个电话提醒他你发了邮件。
9.附件:通常要避免把大文件作为附件来发送,因为它们会把收件人的邮箱塞满。如果收件人邮箱中的内容已经接近于其总容量,那么你的大文件甚至可能会被删除掉。如果你是发送图片,就要把它们调整到较小的解析度。如果你一定需要发送大文件的话,可以先打电话给收件人让他检查一下邮箱。
10.何时不宜发邮件:不要因为每一件琐事、特别是在电话里或者当面就能轻易说清楚的事发送邮件。松下电器的辛格说,“使用电子邮件的目的是为你节省时间,而不是浪费时间。”
不要在邮件中写入敏感或者涉密的信息,因为你永远不知道谁会读到它。最后,转发邮件要小心谨慎,特别是在转发那些有可能冒犯别人或者引人误解的笑话的时候。
