一、岗位描述

前台属于公司内勤岗位,负责协助部门主管协调、处理、完成部门内部各项事务与日常的管理工作,同时完成部门承担的各项公司任务。

二、岗位职责

1、前台接待

⑴ 前台的日常接待工作

⑵ 熟悉部门所涉及的业务与产品知识、业务流程,当客户咨询相关问题时可以给客户初步的介绍

⑶ 通过沟通了解客户消费习惯等内容,加以整理以供营销部门分析,挖掘消费潜力

2、收银结算

⑴ 客户取车前,引导客户进行财务结算,尽量引导客户使用现金结算。⑵ 记账类客户取车时,必须取车人签署姓名、电话,并落实公司对应负责人员,以便财务追讨应收账款。

⑶ 保险赔款类,则落实最终赔付金额,方便财务进行相关结算,落实该赔案在公司相对应的负责人。

3、库存管理

⑴ 负责各类产品、商品采购回公司后的清点、核对、入库工作。⑵ 负责备货类产品、商品的日常出库工作。⑶ 负责流转类产品、商品的日常出库工作。⑷ 负责定期进行各类产品、商品的清点盘库工作。

4、行政常规事务

⑴ 负责前台电话接转、收发传真、文档复印等工作。⑵ 负责前台所涉及的相关设备、设施的保养维护工作。

⑶ 负责部门日常报表登记填写整理,资料整理归档及其他的部门行政事务。⑷ 负责公司车辆使用登记管理

5、卫生清扫、保持

⑴ 负责岗位卫生区域的日常清扫工作 ⑵ 负责岗位卫生区域的日常保持工作

6、安全相关

⑴ 严格执行公司制定的安全监督管理制度

⑵ 发现安全隐患及时报知行政人事部,以便及时处理。

⑶ 遇突发安全状况时,第一时间设法消除并及时报知行政人事部;若无法消除突发状况,则应想法将状况尽可能控制在最小范围内。

与其说“I beg your pardon”,更不如说以下这句来的委婉礼貌: I'm sorry.I didn't catch your name.如果对接人没空/暂无法接待:

接电话用语:

接电话时不可以简单地回答“Hello”,而应报上自己的公司或所属单位的名称。例如: “Hello, this is Information/reception Desk.” 您好,这里是前台。

打错电话时,如果是外线打错时,可以回答: I am afraid you have the wrong number.不好意思,您打错电话了。

当负责的工作人员不在时

直接表达法

A.用基数词 + o'clock表示整点,注意o'clock须用单数,可以省略。如:eight o'clock 八点钟 ten(o'clock)十点钟 B.时 + 分,直接写出时间。

如:eleven-o-five 十一点过五分,six forty六点四十 2.间接表达法

A.分 + past + 时:表示“几点几分”,分钟数少于30(包括半小时half),其中past是介词,意思是“过”。

如:twenty past four 四点二十

eight past one 一点八分

B.(60分钟-原分钟数)+ to +(原钟点数+ 1),表示超过半小时的 “几点差几分”,其中to是介词,意思是“差”。

如:8:35 twenty-five to nine 差二十五分钟九点,即八点三十五(其中的分钟数=60分钟-35分钟;钟点数=8+1)

注:A:15分钟,可用名词quarter(一刻钟)表示。如:7:15 a quarter past seven 12:15 a quarter past twelve B:30分钟,可用名词half(一半)表示。如:9:30

岗位名称:行政前台接待 所属部门:办公室 直接上级职位:办公室主任 行政前台的工作职责

一、日常接待

1.接待来访者:接待不明目的的来访者,先问清对方来访原因,根据原因来看来者是否是无关人员,还是需要找公司相关人员再进行接待。2.接待咨询者,若有咨询者来访,应及时请实验室或办公室相关工作人员来协助接待。

3.接听转接电话:前台是总机电话,一般电话拨入后都需转接其他分机,根据通讯录的分机号码,准确的进行电话转接;接听咨询电话,若在前台接到咨询电话,如对方不明确自己的咨询顾问是谁,直接将电话转接至相关部门助理处。

4.接待推销人员:上班时间若有其他公司的推销人员上门推销,应婉转拒绝,告知上班时间在公司推销,会影响他人工作,若有员工需要他们的服务,告知相关部门员工直接与其对接。

5.面试人员:请面试人员在前台处填写面试人员资料表,并带领其前往会议室等待,通知办公室主任或相关部门领导进行面试。6.接待频繁往来的相关人员:

a)快递,公司内部不论发件或者寄件,均以电话通知相关员工至前台处进行处理,不能让快递员直接进入公司内部。b)物业公司,公司内部的水电维修、物业规定的各项活动的联系工作; c)送水公司,关注公司各处饮水机水量情况,及时联系送水,每次接待时只需要在送水公司的卡片上写清送水“XX”桶,拿走空桶“XX”个即可。每月月底结账,填写请款单提交办公室主任,向财务申请费用支付。同时关注公司饮水机是否正常,如有异常及时通知饮水公司进行维修。(二)、办公用品管理

1.盘库:每月23-25日对库存的办公用品进行全面盘点,制作“办公用品库存统计表”提交办公室主任审查。若有用品数量不足或已领用完,即时上报,进行补充;

2.购买:每月25-28日通知公司各部门提交下月所需的办公用品清单,统计出“购买清单”后报办公室主任审批。批准后,联系办公用品供应商送货;

3.领用:员工领用所需办公用品时,让其填写“办公用品领用表”并签字,然后给予发放;

4.结算:每月底联系办公用品供应商提供本月未结货款清单及发票,确认无误后,填写支出单,报财务人员审批后通知供应商前往领款。(三)、日常事务

1.保证行政电子设备的正常使用,包括:扫描仪、传真机、复印机等,若机器出现故障,及时联系供应商解决问题; 2.每周一定时查看公司信箱,将信件发放至员工手中;

3.公司备用门卡的管理,前台应妥善保管备用钥匙以备公司人员有紧急情况时使用;

4.公司有人员招聘时,协助综合部门电话通知应聘人员各项事宜; 5.收发传真,协助各部门员工收发业务传真;

6.协助办公室主任组织协调公司内部活动,如员工生日会、公司集体活动、拓展等业务的联系、通知、协调事宜。

7.新员工入职时,提供入职表格、办公用品、公司通讯录等,并收取新员工的个人身份证明(身份证、学历学位证、户口本、照片)的复印件,提交办公室主任整理归档。

8.积极配合公司的市场宣传活动,做好后勤保障工作。(四)、接待工作 1.接待前准备工作

a)来客人数确认:会议前向相关负责人确认来客人数,为布置会议室及订餐做准备;

b)会议室桌椅布置:在开会前将会议室的桌面收拾整洁,会议椅归位; c)茶水及点心:会议前准备好茶、热水及杯子,等来客就位后逐个送茶;接待贵客时,应提前准备必要的水果及点心供开会人员食用; d)相机:准备公司相机,为来客拍照留念所用。

e)订餐:向会议负责人确认是否需要订餐,如需订餐应确认就餐人数后,电话联系餐厅预订包房;

f)预订酒店:如需为来客预订酒店,确认主客姓名后,电话联系酒店预订房间,预订成功后向办公室主任汇报确认。2.会议中服务工作 a)为开会人员添加茶水; b)按照领导要求提供会议支持; c)安排专人负责会议中的摄像工作; 3.会议后完善工作

a)组织来客及公司领导合影留念,并将照片发至来访者邮箱内或作为贺卡发送。

b)如遇重要客户来访,应及时将会议相片资料上传至公司网站内。c)会议后的清理工作:将剩余茶水及茶杯清理干净,未食用的点心整理归入茶点处,以备公司员工食用;

d)会议后器材的归库:会议后器材应及时归库,将相机及其他器材放回原处;
