第二篇:英文邮件(商务)格式及常用语

英文邮件(商务)格式及常用语 Ⅰ邮件主题:

①.主题(Subject)框的内容应简明地概括信的内容,短的可以是一个单词,如greetings; 长的可以是一个名词性短语,也可以是完整句,但长度一般不超过35个字母。

YES:Supplier training;

NO:professional trainees from sister company should abide by rule of local company(太 长)

②.主题框的内容切忌含糊不清。

NO:像News about the meeting 这样的表达;

YES:应改为Tomorrow's meeting canceled。

一般来说,只要将位于句首的单词和专有名词的首字母大写即可;另外一种较为正规的 格式可将除了少于5个字母的介词、连接词和冠词之外的每一个单词的首字母大写。YES:New E-mail Address Notification;Detailed calculation

③.视信的内容是否重要,还可以在开头加上URGENT或者FYI(For Your Information 供参考),如:URGENT:Submit your report today!

Ⅱ称呼:

Dear ××(人名),,或者Dear Mr./Ms.××(姓),,一般正式的邮件这样就OK了,如果和你非常熟悉的人,也可以直呼其名;然后空一行换行,顶格写,不用空格。

Ⅲ正文:

①.邮件第一段开头可以说到自己是谁(This is ××(人名)from ××(公司名)),也可以不说;

②.感谢读者是邮件开场白的好办法。感谢您的读者能让对方感到高兴,特别是之后你有事相求的情况下会很有帮助。

⑴.Thank you for contacting us.如果有人写信来询问公司的服务,就可以使用这句句子开头,向他们对公司的兴趣表示感谢。

⑵.Thank you for your prompt reply.当一个客户或是同事很快就回复了你的邮件,一定记得要感谢他们;如果回复并不及时,只要将“prompt”除去即可,你还可以说,“Thank you for getting back to me.”

⑶.Thank you for providing the requested information.如果你询问某人一些信息,他们花了点时间才发送给你,那就用该句表示你仍然对他们的付出表示感激。

⑷.Thank you for all your assistance.如果有人给了你特别的帮助,那一定要感谢他们!如果你想对他们表示特别的感激,就用这个句子,“I truly appreciate for your help in resolving the problem.”

⑸.Thank you raising your concerns.就算某个客户或是经理写邮件给你对你的工作提出了一定的质疑,你还是要感谢他们。这样你能表现出你对他们的认真态度表示尊重及感激。同时,你也可以使用,“Thank you for your feedback.”

③.正文中,段与段之间也是空一行,再顶格写。注意:正文的内容你需要注意5C原则:Clear(信息明了)、Complete(内容完整)、Correct(准确无误)、Concise(简明扼要)、Courteous(礼貌周到)

⑴.正文中的人称选择:I, You, We等,如果邮件很长的话,you的使用不能过多;I和We的区别是显而易见的,生意上、客户之间一般都是用We,你是代表公司的;当然该用I表示你个人的时候还是要用I的,视具体情况而定。语气和宾词的运用得当能决定你的礼貌程度。如:

NO: You will be pleased to learn that you have been selected to serve on our advisory board.Your prompt response will be appreciated.(好像欠你一样)

YES: I am pleased that our board has selected you as the best qualified candidate to serve on our advisory board.I hope you’ll agree to serve.(这就友善多了)

NO: Your book was well written and comprehensive.(不用你来判断我呀~~)

YES: I thoroughly enjoyed your book and found an answer to every one of my

questions about performance appraisals.(客气一点,人家受落)

⑵.切忌主客不分或模糊

例子:Deciding to rescind the earlier estimate, our report was updated to include $40,000 for new equipment.应改为:Deciding to rescind our earlier estimate, we have updated our report to include $40,000 for new equipment.(We我们是主语, 不是report。)

⑶.句子不要凌碎

例子:He decided not to audit the last ten contracts.Because of our previous objections about compliance.应该连在一起。

⑷.结构对称,令人容易理解。

例子: The owner questioned the occupant's lease intentions and the fact that the contract had been altered with ink markings.应改为:The owner questioned the occupant's lease intentions and ink alterations of the contract.⑸.单复数不要搞乱,不然会好刺眼,看不舒服。

例如:An authorized person must show that they have security clearance.⑹.动词主词要呼应。想想这两个分别:

1)This is one of the public-relations functions that is under budgeted.2)This is one of the public-relations functions, which are under budgeted.⑺.时态和语气不要转变太多。看商务英语已经是苦事,不要浪费人家的精力啊。

⑻.选词正确

像affect和effect,operative和operational等等就要弄清楚才好用啦。

⑼.地址上的数字直接用阿拉伯数字,除了One,例子:

Ⅳ结尾:

①.结尾的常用语

⑴.If you have any question or suggestion, please feel free to contact me./ Any

question or suggestion, please feel free to contact me.很常用的结尾,正文中不用说的非常详细,显得冗余,可以这样结尾,他不懂的或者建议,可以联系你。

⑵.Thank you for your help and your valuable time again./ I appreciate again for your attention and time.结尾的感谢用语

⑶.I am lookingforward to hearing from you soon./ Looking forward to hearing from you soon.期待收信人的尽快回复,这样的写法很常用,”soon”就足可以表示“尽快”的意思,不要用”as quickly as you can”这样生硬的短语,像是在下命令,很不礼貌。

⑷.Thank you for your kind cooperation.如果你需要读者帮助你做某事,那就先得表示感谢。

⑸.Thank you for your attention to this matter.与以上的类似,本句包含了你对对方将来可能的帮助表示感谢。

⑹.Thank you for your understanding.如果你写到任何会对读者产生负面影响的内容那就使用这句句子吧。

⑺.Thank you for your consideration.如果您是在寻求机会或是福利,例如你在求职的话,就用这封邮件结尾。

⑻.Thank you again for everything you've done.这句句子可以用在结尾,和以上有所不同。如果你在邮件开头已经谢过了读者,你就可以使用这句话,但是因为他们的帮助,你可以着重再次感谢你们的付出。

②.在署名自己的之前的客套话

⑴.正式一点的,客户、公司之间的:Very truly yours, Yours very truly, Yours truly,⑵.一般的就OK,如:Best Regards, Thanks and Best Regards, Sincerely yours,Yourssincerely, Sincerely, Cordially yours, Yours cordially, Cordially,然后空一行换行,你的名字、联系方式,公司的名字、联系方式、Logo等。

Ⅴ检查

在写完邮件后,先忍住,不要着急点发送按钮,检查一下,就几十秒或者一两分钟的时间。①.注意人称,时态,语法,名词单复数等细节.②.内容大概用5C原则检查一下,现在的工作中用到的邮件一般都不会很长。

注意:这是个人推荐的一种英文书写方式(段与段之间空一行,顶格写),还有一种就是段与段之间可以不用空一行,但是每段开头都要缩进4个字符,类似于中文的书写方式,这种方式也是没有错误的,只是看个人的喜好。

关于英文商务email的问题

“在商务交往中要尊重一个人,首先就要懂得替他节省时间”,电子邮件礼 仪的一个重要方面就是节省他人时间,只把有价值的信息提供给需要的人。写 Email 就能看出其人为人处世的态度。你作为发信人写每封 Email 的时候,要想到收信人会怎样看这封 Email,时刻站在对方立场考虑,将心比心。同时勿对别人之回答过度期望,当然更不应对别人之回答不屑一顾。

以下职业电子邮件中礼仪问题,希望能给您的工作带来帮助!

一、关于邮件主题 主题是接收者了解邮件的第一信息,因此要提纲挈领,使用有意义的主题行,这样可以让收件人迅速了解邮件内容并判断其重要性。

1.一定不要空白标题,这是最失礼的;

2.标题要简短,不宜冗长,不要让 outlook 用,才能显示完你的标题;

3.标题要能反映文章的内容和重要性,切忌使用含义不清的标题,如“王先 生收”;

4.一封信尽可能只针对一个主题,不在一封信内谈及多件事情,以便于日后 整理;

5.可适当用使用大写字母或特殊字符(如“*!”等)来突出标题,引起收件人注意,但应适度,特别是不要随便就用“紧急”之类的字眼;

6. 回复对方邮件时,可以根据回复内容需要更改标题,不要 RE、一大串。RE

二、关于称呼与问候

1.恰当地称呼收件者,拿捏尺度

1.1 邮件的开头要称呼收件人。这既显得礼貌,也明确提醒某收件人,此邮 件是面向他的,要求其给出必要的回应;在多个收件人的情况下可以称呼大家、ALL。

1.2 如果对方有职务,应按职务尊称对方,如“x 经理”;如果不清楚职务,则应按通常的“x 先生”、“x 小姐”称呼,但要把性别先搞清楚。

1.3 不熟悉的人不宜直接称呼英文名,对级别高于自己的人也不宜称呼英文 名。称呼全名也是不礼貌 的,不要逮谁都用个“Dear xxx”,显得很熟络。

2.Email 开头结尾最好要有问候语 最简单的开头写一个“HI”,中文的写个“你好”;结尾常见的写个 Bes t Regards,中文的写个“祝您顺利”之类的也就可以了。俗话说得好,“礼多人不怪”,礼貌一些,总是好的,即便邮件中有些地 方不妥,对方也能平静的看待。

三、职场的电子邮件礼仪

1.Email 正文要简明扼要,行文通顺 Email 正文应简明扼要的说清楚事情;如果具体内容确实很多,正文应只 作摘要介绍,然后单独写个文件作为附件进行详细描述。正文行文应通顺,多用简单词汇和短句,准确清晰的表达,不要出现让人 晦涩难懂的语句。

2.注意 Email 的论述语气 根据收件人与自己的熟络程度、等级关系;邮件是对内还是对外性质的不 同,选择恰当的语气进行论述,以免引起对方不适。尊重对方,请、谢谢之类的语句要经常出现。电子邮件可轻易地转给他人,因此对别人意见的评论必须谨慎而客观。邮 “ 件门”就是深刻的教训!

3.Email 正文多用 1234 之类的列表,以清晰明确。如果事情复杂,最好 1、2、3、4 的列几个段落进行清晰明确的说明。保持你的每个段落简短不冗长,没人有时间仔细看你没分段的长篇大论。

4.一次邮件交待完整信息 最好在一次邮件中把相关信息全部说清楚、说准确。不要过两分钟之后再 发一封什么“补充”或者“更正”之类的邮件,这会让人很反感。

5.尽可能避免拼写错误和错别字,注意使用拼写检查 这是对别人的尊重,也是自己态度的体现。如果是英文 Email,最好把拼写检查功能打开。在邮件发送之前,务必自己仔细阅读一遍,检查行文是否通顺,拼写是否 有错误。

6.合理提示重要信息 不要动不动就用大写字母、粗体斜体、颜色字体、加大字号等手段对一些 信息进行提示。合理的提 示是必要的,但过多的提示则会让人抓不住重点,影 响阅读。

7.合理利用图片,表格等形式来辅助阐述 对于很多带有技术介绍或讨论性质的邮件,单纯以文字形式很难描述清 楚。如果配合图表加以阐述,收件人一定会表扬你的体贴。

8.不要动不动使用¤之类的笑脸字符,在商务信函里面这样显得比较轻佻 Business Email 不是你的情书,所以¤之类的最好慎用。只用在某些你确实需要强调出一定的轻松气氛的场合。

四、夹带附件

1.如果邮件带有附件,应在正文里面提示收件人查看附件;

2.附件文件应按有意义的名字命名,不可用外星人才看懂的文件名;

3.正文中应对附件内容做简要说明,特别是带有多个附件时;

4.附件数目不宜超过 4个,数目较多时应打包压缩成一个文件;

5.如果附件是特殊格式文件,因在正文中说明打开方式,以免影响使用;

6.如果附件过大(不宜超过 2MB),应分割成几个小文件分别发送;

7.尊重对方的习惯,不主动发起英文邮件; 如果对方与你的邮件往来是采用中文,请不要自作聪明的发送英文邮件给 他;如果对方发英文邮件给你,也不要老土的用中文回复。

8.选择便于阅读的字号和字体。选择便于阅读的字号和字体。中文老实点用宋体或新宋体,英文就用 Verdana 或 Arial 字型,字号用 五号或 10 号字即可。这是经研究证明最适合在线阅读的字号和字体。不要用稀奇古怪的字体或斜体,最好不用背景信纸,特别对公务邮件。

五、结尾签名 每封邮件在结尾都应签名,这样对方可以清楚的知道发件人信息。虽然你的 朋友可能从发件人中认出你,但不要为你的朋友设计这样的工作。

1.签名信息不宜过多 电子邮件消息末尾加上签名档是必要的。签名档可包括姓名、职务、公司、电话、传真、地址等信息,但信息不宜行数过多,一般不超过 4 行。你只需将一些必要信息放在上面,对方如果需要更详细的信息,自然会与你 联系。引用一个短语作为你的签名的一部分是可行的,比如你的座右铭,或公司 的宣传口号。但是要分清收件人对象与场合,切记一定要得体。

2.不要只用一个签名档 对内、对私、对熟悉的客户等群体的邮件往来,签名档应该进行简化。过 于正式的签名档会让对方显得疏远。你可以在 OUTLOOK 中设置多个签名档,灵活调用。

3.签名档文字应选择与正文文字匹配,简体、繁体或英文,以免出现乱码。字号一般应选择比正文字体小一些。

六、邮件回复

1.及时回复 Email 收到他人的重要电子邮件后,即刻回复对方一下,往往还是不可少的,这是 对他人的尊重,理想的回复时间是 2 小时内,特别是对一些紧急重要的邮件。对每一份邮件都立即处理是很占用时间的,对于一些优先级低的邮件可集中 在特定时间处理,但一般不要超过 24 小时。如果事情复杂,你无法及时确切回复,那至少应该及时的回复说“收到了”,我们正在处理,一旦有结果就会及时回复。不要让对方苦苦等待,记住:及时做 出响应,哪怕只是确认一下收到了。如果你正在出差或休假,应该设定自动回复功能,提示发件人,以免影响工 作。2.进行针对性回复 当回件答复问题的时候,最好把相关的问题抄到回件中,然后附上答案。不要用简单的,那样太生硬了,应该进行必要的阐述,让对方一次性理解,避免 再反复交流,浪费资源。

3.回复不得少于 10个字 对方给你发来一大段邮件,你却只回复“是的”、“对”、“谢谢”、“已 知道” 等字眼,这是非 常不礼貌的。怎么着也要凑够 10个字,显示出你的尊重。

4.不要就同一问题多次回复讨论,不要盖高楼 如果收发双方就同一问题的交流回复超过 3 次,这只能说明交流不畅,说 不清楚。此时应采用电话 沟通等其它方式进行交流后再做判断。电子邮件有时并不是最好的交流方式。对于较为复杂的问题,多个收件人频繁回复,发表看法,把邮件越 RE 越高,这将导致邮件过于冗长笨拙而不可阅读。此时应即是对之前讨论的结果进行小结,删减瘦身,突出有用信息。

5.要区分 Reply 和 Reply All(区分单独回复和回复全体)如果只需要单独一个人知道的事,单独回复给他一个人就行了。如果你对发件人提出的要求做出结论响应,应该 replay all,让大家都知 道;不要让对方帮你完成 这件事情。如果你对发件人的提出的问题不清楚,或有不同的意见,应该与发件人单独 沟通,不要当着所有人的面,不停的 RE 来 RE 去,与发件人讨论。你们讨论好了再告诉大家。不要向上司频繁发送没有确定结果的邮件。点击“回复全部”前,要三思而行!

6.主动控制邮件的来往 为避免无谓的回复,浪费资源,可在文中指定部分收件人给出回复,或在 文末添上以下语句:“全 部办妥”、“无需行动”、“仅供参考,无需回复”。

七、正确使用发送,抄送,密送 正确使用发送,抄送,要区分 To 和 CC 还有 BCC(区分收件人、抄送人、秘送人)

1.To 的人是要受理这封邮件所涉及的主要问题的,理应对邮件予以回复响 应。

2.而 CC 的人则只是需要知道这回事,CC 的人没有义务对邮件予以响应,当然如果 CC 的人有建议,当然可以回 Email。

3.而 BCC 是秘送,即收信人是不知道你发给了 BCC 的人了的。这个可能用 在非常的场合。

4.TO,CC 中的各收件人的排列应遵循一定的规则。比如按部门排列;按职 位等级从高到低或从低到高都可以。适当的规则有助于提升你的形象!

5.只给需要信息的人发送邮件,不要占用他人的资源。

6.转发邮件要突出信息。

八、注意事项

1.在你转发消息之前,首先确保所有收件人需要此消息;

2.转发敏感或者机密信息要小心谨慎,不要把内部消息转发给外部人员,或 者未经授权的接收人;

3.如果有需要 还应对转发邮件的内容进行修改和整理,以突出信息;

4.不要将 RE 了几十层的邮件发给他人,让人摸不着头脑;

5.对外重要文件必须经高阶主管认可签字转为 PDF 文件,或由高阶主管亲 自发送;

6.所有的电子邮件应自我 Double check 后才发出。

【点评】

1、沟通的效果,面对面最好,电话次之,邮件最差;

2、以后发送的邮件切记不要出现无标题之类,这样给收件人后期查询带来很多 不便,同时也给收件人留下一个不好的印象;

3、如果前后发送同一个主题的邮件,但是邮件的内容有所变化,应在邮件标题 中有所提示,如(更新)字样,当然,最好的方式是一步到位;

4、准确把握收件人、抄送人、密送人的不同使用方法及不同;

5、一个邮件通常只包含一件事情;

6、邮件的征文应突出主题,便于收件人阅读所要表达的重点,如果内容太多,可在邮件正文简明扼要的概括下内容要点,并注明详细内容请参看附件;

7、特殊格式的文件,需注明打开的方式,这样给使用者会带来更多的方便;

8、对财务人员来说,在报送报表、应收账款等情况时,可注明“**年**月** 公司**报表”,在报送应收账款时,可注明“**公司应收账款表(截止**月* *日)”,这样可以使人更加方便的阅读,也便于后期查看;

9、日常在发送邮件时,可以在 word 里面先进行输入,然后再复制到邮箱里,一方面在 word 里面便于编辑,另一方面 word 提供了自动保存功能,可以使 我们更高效的工作,最后还可以利用 word 提供的【工具】-【拼写和语法】 来检查是否存在语法错误;邮件沟通较之面对面交流的一大优势在于,你可以借助一切力量使得你撰写的邮件准 确无误得表达你的意图,而不必担心发音不标准或语法错误等让人尴尬的掉链子情况 发生。”
