浅谈跨文化商务交际中的商务英语信函写作教学
摘 要:随着各国经济来往日益频繁,跨文化商务交际越来越普遍,商务英语信函作为现代商务活动中不可或缺的工具,得到了广泛的应用。本文主要探讨了商务英语信函写作在跨文化商务交际中的应用以及商务英语信函写作教学。

一、引言
随着经济的迅猛发展,各个国家和地区之间的的商务贸易往来越来越密切。跨文化商务交际在国际贸易中起着重要作用。商务英语信函在贸易往来中既是促成交易的交易双方沟通的手段,也可以作为交易的重要凭证,因此,商务英语信函写作教学十分重要。
二、商务英语信函
商务英语信函在国际贸易中应用广泛,“商务英语信函是国际贸易买卖双方用于联系业务、沟通商讯、咨询答复的主要途径和通讯手段,其主要作用在于:(1)索取或传递信息:(2)报盘或接受报盘;(3)处理业务磋商的各种问题。”
商务英语信函种类繁多,按其功能具体可以分为:询价函、报价函、通知函、允诺函、收款函、索赔与理赔函等。
三、商务英语信函写作教学
商务英语信函写作在跨文化商务活动中占据重要地位,因而,商务英语信函写作教学在商务英语学习过程中是关键的不可或缺的组成部分。在商务英语信函写作教学过程中贯穿始终的两个要点是商务英语信函的特点和商务英语信函写作应遵循的原则。
1.商务英语信函的特点
“在跨文化商务交际中,我们会写各式各样的信函,比如推荐信、申请信、感谢信以及推销产品的信函等。在写这些信时,我们也要顾及到对方的语言差异、文化差异以及审美情趣差异。这些差异都会影响你这封商务信函是否成功。”
因此,掌握商务英语信函的特点进行写作尤为重要。
商务英语信函写作具有如下特点:
(1)专业性。商务英语信函在跨文化商务交际中是重要的书面交流工具和手段。在商务英语信函书写过程中,主要使用商贸术语,如询盘、报盘等都需要用语专业恰当。“商务信函用词表意准确、专业性强,主要表现在两个方面:一是商务英语词汇有大量的专业术语;二是商务英语词汇中有很多来自普通英语,却被赋予特定的专业内涵。”无论是商务英语的专业术语,还是被赋予特定专业内涵的普通英语,在商务英语信函写作过程中,一定要保证选对词,用对意。
(2)时效性。在跨文化商贸交际中,一定要注意商贸信函的时间和效率,并且要结合交易双方的文化背景和习俗,并且考虑到交易双方所处的时区的差异,避免会错意或发出误导信息。
(3)准确性。商务英语信函的书写用语一定要规范准确,措辞时要充分考虑到对方的语言和文化背景,避免产生歧义,否则可能会造成误解甚至产生负面影响。
(4)用语简明易懂。商务英语信函写作通常简单、明了、主题明确,写作应避免繁琐拖沓,这样才能保证对方理解信函的目的,并快速做出判断或决定,过多的使用套话没有任何意义,反而容易使对方陷入困惑而不利于商务活动的顺利进行。
(5)礼貌性。商务英语信函写作通常语气十分礼貌与委婉,在表达清楚信函的写作目的的同时,还要注意措辞的礼貌,这样才有利于促进交易的顺利进行。此外,“无论是什么形式的商务英语信函写作,都需要体现一个很重要的原则:‘You―Attitude’。也就是处处为对方着想,让对方感到亲切,与对方拉近距离,使其感觉到要传达的信息更易于接受。”
2.商务英语信函写作应遵循的原则
基于商务英语信函的以上五个特点,商务英语信函写作应遵循“7C”原则,即礼貌原则(Courtesy)、体谅原则(Consideration)、完整原则(Completeness)、清楚原则(Clarity)、简洁原则(Conciseness)、具体原则(Concreteness)、正确原则(Correctness)。也就是说,在商务英语信函写作过程中,要注意措辞礼貌,体谅对方,表意完整、清楚、简洁、具体和正确,只有遵循了这七个原则,才能被称作一篇成功的商务英语信函。
3.商务英语信函写作教学
为提高商务英语信函写作教学效果,可以采用词汇法,情境法以及找错法进行商务英语信函写作教学。
(1)词汇法。即为了便于学生记忆,将商务英语信函写作常用词汇进行分类归纳。
(2)情境法。即在教学中,设定商务英语信函写作的各种情境,给同学们布置写作任务,如将学生分组,有写信函的小组,有回复信函的小组,这样可以充分调动学生学习的积极性,便于学生进入情境,顺利完成商务英语信函写作,提高写作水平。
(3)找错法。即在网上或平时学生的信函写作中找到具有代表性的错误,让同学们来找出错误,分析错误原因,并改正错误,这样加深学生们的印象,有利于避免在商务英语信函写作中犯类似的错误。
四、结论
综上所述,在商务英语信函写作教学过程中要提醒学生们牢记商务英语信函的特点,遵循“7C”原则,这样才能在跨文化商务交际实践中顺利完成商务英语信函写作,为商务活动的顺利进行以及交易的达成保驾护航。

(一)避免使用陈旧的商业术语
陈旧的与传统的商业术语(Commercial jargon)对信的内容没有什么作用,应该避免使用。

(二)要长话短说,避免罗嗦
通常商业人士每天需要阅读大量的书信,对开门见山,长话短说,直接切题的信特别欢迎。因此,写信要力求长话短说,删去不必要的形容词,如下列句子中的形容词或副词删去后并不影响句子的原意: The proposal is under(active)consideration.The answer is(definitely)correct.I would(rather)think the fare is too high.The(true)facts are as stated.(三)要注意每句句子的长短
例如:“We would like to know whether you would allow us to extend the time of shipment for twenty days, and if you would be so kind as to allow us to do so, kindly give us your reply by cable without delay.” 这句话过分“客气”,使句子过长而不清楚。内容要求对方同意延期交货20天,一般情况下,应尽可能提出延期到那一
天的具体日期。这句话可压缩为:“Please reply by telegram immediately if you will allow us to delay the shipment until April 21.”(如同意我们把交货延期到四月二十一日,请电复。)
有的作者为了使人们记住避免使用陈旧的商业术语,专门选择了一些他认为陈旧的商业术语搞成一首诗: We beg to advise and wish to state That yours has arrived of recent date.We have it before us, its contents noted;Herewith enclosed are the prices we quoted.Attached please find, as per your request, The data you wanted;and not let us suggest Your order be sent, and not held unduly, We beg to remain, yours most truly.COURTESY译成“礼貌”。但是根据西方国家函电书籍作者普遍的看法,所谓COURTESY是“客气而又体谅人”的意思。有的作者还把 COURTESY和POLITENESS这两个同义词做了比较,认为:POLITENESS的客气只是表现在文章的语句上,而COURTESY则表现在对对方的“体谅”,例如:

(三)缓和用法(Mitigation)
为了缓和过分强调或刺激对方,常用: We are afraid, we would say, we may(or, might)say, we(would)think, it seems(or would seem)to us, we(would)suggest, as you are(or: may be)aware, as we need hardly point out等等表达法来缓和语气,如:
