论商务英语写作原则与写作技巧
随着国际经济贸易的往来,商务英语信函成为国际沟通的有效途径之一,而有效地撰写商务英语信函是国际商务人才必备的技能之一。作为商务英语专业的学生,撰写商务英语信函也是我们必须掌握的一项重要的、实用的技能。本文从商务英语的写作的7原则出发,探讨如何通过掌握商务英语写作的原则来撰写成功的商务英语信函并总结商务英语的写作技巧。
商务英语写作原则写作技巧自加入世界贸易组织之后,我国与世界各国的经济交往日益频繁,因此,培养一大批既熟练掌握外语,又通晓国际商务知识,并善于进行跨文化交际的国际商务人才已成当务之急。商务英语信函是进行书面信息沟通的重要手段。在国际商务人员必备的诸多技能中,商务英语写作是其中一项重要的技能,也是商务活动得以顺利开展的重要保证。商务英语写作的技能既反映了商务人员的个人能力,也是提升企业形象、树立良好企业形象的保证。
一、商务英语的写作原则
撰写商务英语信函需在一定的原则指导下才能达到预期效果。相反,如果违背了既定原则,可能会给外贸工作造成意想不到的麻烦。在大量的理论及实践中,我们总结出了以下7C基本原则,即完整性原则(Completeness)、正确性原则(Correctness)、具体性原则(concreteness)、清楚性原则(Clarity)、简洁性原则(Conciseness)、体谅性原则(consideration)、礼貌性原则(courtesy)。
1.完整性原则。一封完整的信函有助于表达写作者的交流意图;有助于建立和表达友善的关系;有助于防止出现信息遗漏而导致索赔、损失或诉讼。完整性原则包括信函格式的完整性,信函结构的完整性以及信函内容的完整性。标准的信函格式包括信头,日期,信内地址,称呼,正文,结尾敬语,签名。格式的完整性能体现写作者的专业性。信函结构的完整性体现在其结构的模式化。商务英语信函属于实用性文体,程序化程度比较高,一般来说正式的信函由三大部分组成,即信函的开头,正文以及结尾三个部分。信函内容的完整性即一封信函必须包括读者想知道的所有信息,回答读者的一切提问,解答读者的所有疑问。在写作中,我们建议用五个W来检验。
2.正确性原则。商务英语信函的一个重要功能就是信息功能,也就是传递信息。正确性原则不仅仅是指信函中语法的正确、标点符号和拼写的正确,而且也包括标准的语言,合适的表述,准确的数字以及对于商业术语的正确理解。
3.具体性原则。商务英语信函都有明确的交际意图和目的,信函的内容都是具体的。在内容表述上,应该确定、准确而又生动,特别是要求对方做出明确反应的信函,或者答复对方提出的要求或问题的信函,或是报盘、接受等。该具体的就要具体,避免模糊、笼统和抽象。如商品的某些质量和特征要用准确的数字;时间要具体,用年月日,避免使用模棱两可、含混不清的表达法。
4.清楚性原则。所谓清楚,就是信函要写得清楚明白,无晦涩难懂之处,不至于产生误解。写信人应该尽量将自己的意思表达清楚,有助于收信人正确地理解信函的内容,这样才能达到写信的效果。要做到这一点,应避免使用复杂、冷僻、含义模糊的词句和冗长的句子结构;正确恰当地分段。
5.简洁性原则。商务英语属于实用性语言,在实际的商务活动中,信函的用语应尽量简洁,也就是尽量使用简洁的话语表达完整的、详实的信息。简洁常被认为是信函写作的第一要义。在行文中,可以考虑使用缩略语。
6.体谅性原则。商务英语信函的写作中需要作者时刻注意对方的反应,也就是多为对方着想。在写作中,既要满足对方的需要,在结构、态度、措辞等方面也要考虑对方的接受情况。在行文中我们可以多使用“you attitude”,将收信人放在首位。
7.礼貌性原则。一封彬彬有礼的信函能帮助写作者树立良好的职业道德形象,有助于促进业务,增进友谊,加强交流。礼貌意味着在信函中非常巧妙地表示出诚挚的友情、诚恳的感谢、真诚的礼貌、体贴的理解和由衷的尊重。如何能更好的做好这一点呢?我们需要掌握以下的几个要点。
(1)在行文中多使用积极的词汇,避免使用消极的、有歧视含义的词汇。在平时的阅读写作中多搜集积极的词汇。如please,pleasure,appreciate,obliged,grateful,helpful,positive,increase等。商务信件应尊重女性伙伴,尽量避免使用有性别歧视的词语。
(2)将命令式用语改为请求式用语。在行文中使用命令式用语会使口气显得很强硬,俨似把自己的想法强加于人。而使用请求式用语,不仅表明了话语意义,还表示了对对方的尊重,语气则显得更加谦和。如我们在行文中建议多采用Please,Will you please,Could you please,It will be highly appreciated that,It is our pleasure to,Would you be interested in,We regretthat等句型。
(3)利用虚拟语气表示客气和委婉语气。表示希望或意见时可用虚拟式,以示礼貌。如We wish you would let us have your reply soon.(4)在行文中恰当使用被动语态。在商务函电中,为了使文章更加礼貌得体,除了选用一些得体的语言外,还应多使用被动语态。因为被动语态能使你的请求显得更加温和,更显客气。而主动语态常有谴责、抱怨对方的语气。
二、商务英语信函的写作技巧
在撰写商务英语信函时我们应当遵守以上的7个原则,那么,除了以上的写作原则外,要想撰写一篇高质量、高效率的文章,我们还应掌握以下的写作技巧。
1.采用商务英语信函的四步式结构。商务英语信函不同于其他类型的文章,它的写作有一定的框架规范可循。具体表现在内容结构与语言运用等方面要选用常用的四部式的正文结构。通常,常见的商务信函由四部分组成,即引言、详情、应答回复和结束语。
引言部分应说明写信的来由,出于礼貌,商务信函通常通过告知事由或提及彼此之前的联系引出正文,而不是开门见山谈具体事宜,以免唐突与失礼。引言中经常使用的句型有I am writing to you concerning;Thank you for your letter dated;Referring to our contract;We take pleasure in informing you that;We are in receipt with thanks of your等。
详情部分即开始进入文章的中心部分。在这一部分应详细说明具体信函事宜及具体要求。
第三部分是应答,也就是我们常说的回复部分。这部分可以涉及要求对方确认、答复或寄来价目表等。在写这部分内容时要根据具体情况来回复,回复时注意礼貌,信息完整,无误。
最后一部分是结束部分。结尾部分可根据信函内容表达感谢之意,提出要求或者提请对方注意。
2.平时注意积累商务信函的固定表达和句型。商务英语专业的学生应在平时的学习中根据不同的写作内容积累并记忆商务信函的固定表达和句型。只有多记忆,才能在真实的撰写中游刃有余。

商务英语信函属于应用文的范畴,有着自己独特的语言风格、写作原则和写作特点。在商务英语写作过程中,必须突出商务写作的特点,遵循通俗易懂、简明完整、清楚正确、礼貌等写作风格和原则,并灵活运用写作技巧。由此可见,领会和掌握商务应用文的写作原则不仅可以提高学生的语言基本功,而且有利于学生了解和学习语言应用的社会环境。而掌握商务英语写作的技巧能全面提高实用英语的写作能力。
