浅析商务英语写作用语的特点

摘 要:商务英语写作作为商务沟通的一种重要的表达方式,与一般英语写作的基本要求基本一致,但是又有其自身的独特之处,本文主要介绍了商务英语写作的内涵、形式及需要遵循的基本原则,并对商务英语写作的特点进行了分析。

一、商务英语写作

(一)什么是商务英语写作。商务英语写作是经济工作的有力帮手,是从事经济活动的人员以及相关人员必须掌握的一种工具。这种专门的写作需要写作者具有专门的知识,具备基本的商务知识,要在文章中体现出专业性和特殊性,往往会融合经济学相关的知识,统计数据和经济术语较多。此外,文章还要具备规范性,不同的文章体裁和形式要采用不同的写作方法,例如,经济评论的文章要采用议论文的体裁,而说明书则应采用说明文。

(二)商务英语写作的主要形式。第一,便签,也就是留言条。便签的使用范围主要是朋友、同事以及熟悉的人之间,因而便签的书写和格式以及措词都比较随意,句子结构简单,只要将事情交代明白即可,其写作用语特点是简明扼要,可以出现省略现象,一般由称呼、内容、签名以及日期几部分组成。第二,备忘录。它是一种用来备忘的公文,使用范围主要是公司内部,不可用于企业之间的交流。主要用于信息的传递和工作程序的说明,备忘录中的内容一般是需要迅速处理的事情,随用随写,并不是正式的文函。写作用语特点是简洁清楚,语气坚定,其格式固定,由接收人、发出人和主题、日期以及具体内容组成,用于口语化,一份备忘录一般仅陈述一个主题。第三,商务信函。这是商务英语写作中最常见的形式之一,其格式基本上与一般英文书信相同,但比一般书信正式。主要由信头、地址及称呼正文等构成,一般来说用语较为正式,信尾的祝词要用” Your sin

cerely”、”Your truely”等作为结束。第四,商务报告。这是商务交流和商务活动中的一种重要的交流形式,适用范围是向上级机关报告工作等,主要包括工作报告、建议、报送文件等。用语特点是准确、清楚以及有效陈述。

(三)商务英语写作用语应该遵循的原则。首先是完整性原则。在商务英语的写作中要求内容全面完整,文章越是重要就越要完整,写作人要使自己在文章中表达的内容详尽完整,例如,写一份装船的通知就要将船的名字、装运日期以及合同号、港口、件数、等信息全面包含进去,保证文章的完整性。其次,准确具体原则。例如The firm is one of our big buyers.这句话如果用来回复对于这家企业的资信情况的调查结果的话就显得不够具体,因为大到什么程度并没有表述出来,而如果用The firm

placed 180000 dollars of business with us.就显得具体多了,此外,用语要清楚明了,尽量不使用容易产生歧义的词语,句子之间要紧凑。最后是礼貌原则。也就是要从对方的角度来考虑问题,理解客户的要求,不可使用命令语气,不能使用容易产生误会的轻视或者冒犯的词语。例如,We regret to learn your letter

rived.这样的表述就是符合礼貌原则的,客户也会感到被尊重。

(一)用词准确、专业。在商务英语写作中如果有一个词或者是句子意义不够明确,就很有可能会给企业带来损失,而且许多内容都具有合同性,所以,商务英语写作的用词具有准确、具体、专业的特点,要求写作者使用专业、准确的词语帮助客户了解详情。要避免使用意义模糊或者是具有象征意义的词语,以免引起误解。要保证传递信息方和信息接收方在词义上的理解相同,否则沟通就不会有太大的效果,还要注意词语的感情色彩,引起读者的共鸣。作者要明确写作的意图,要有清晰的思路,例如,在表达买家具时不能笼统的用”furniture”来表示,而应该用具体的”table”、”chair”等来表述。在广告文案中要使用

inexpensive或者reasonable来表达价格而不用cheap。在称呼别人的职位时,sales person和sales representative在感情色彩上也是有差别的,虽然是一样的职位但是后者给人一种地位较高的感觉。

(二)造句简洁,段落清晰完整。商务英语的写作和记叙文不同,不需要通过华丽的辞藻来增强效果,过多的词汇只会带来负面的效果,因此商务英语写作用词的特点在于简洁易懂,应该摒弃一切多余的修饰性用语。为了使句子更加简明,尽量用句组而不用从句,能用单词进行表达的就不用词组。例如

import和attach importance to的意思是一样的,但是为了表达的简洁一些,就选择单词而不是词组。而段落的清晰完整就是要使文章的结构完整,包括手段、发展段以及结尾等,且文章的段落之间和句子之间要连贯,有逻辑,正确使用连接词及词组。

(三)用语简明,行文果断。简明就是要在商务英语写作中删去本就知道的词语,例如,“The company was founded in the

year of 1899.”这句中的1899本就是指年份,此时,the year of就显得有点多余。应该删去。再如They have developed a new and

original product中,new和original这两个词语的意义是相近的,所以只要用一个词就可以了。行文果断是指语言坦率、态度清晰,不可模棱两可,以免影响行文力度,要果断坚决,让客户感受到写作者想要表达的内容以及态度、情感,准确的表达信息。如果出现It seems that you have forgotten to这样的句子的话就会显得不够果断,应该避免这样的句子的出现。

(四)突出积极因素。商务英语写作强调用语用词突出积极方面,因为积极因素更加能够引起读者的阅读兴趣,从而更容易获得认同,所以要避免消极色彩的表达方式。在单词中,要尽量不使用否定副词和带否定意义的前后缀的派生词汇,例如disapprove、careless等,而像If you have further questions,feel

free to call me.这样的句子就容易让人感受到积极的色彩,效果也会更好。此外,对于本身无消极色彩的单词有时如果使用不当也可能会产生消极色彩,所以在写作时要格外注意。同时,在进行商务英语写作时还要注意从正面的角度来表达,因为在同一种现象上,站在不同的角度就会有不同的结果,而积极的表达往往更加容易被读者所接受,如果在商务英语写作中不得不表述消极的信息,那么就要对这些消极的信息加上合理可接受的解释,避免读者产生排斥心理,要让读者信服从而弱化信息本身的消极色彩。

(五)特定的语言特点。由于商务活动丰富多样又时常变

动,所以为了保证活动的参与者能够在语言的使用和理解上具有规范性和一致性,所以一些商务活动的写作所使用的语言在长期的实践和探讨中逐渐显现出其特有的语言特色,这些商务写作强调用词规范化,使用专业术语和专门的商务词汇语言具有条理性和逻辑性,按照这类商务活动惯用的写作方法和模式进行写作。

(六)扣紧主题,准确表达。在进行商务英语写作时,写作者不可以将虚假或者是证据不足的信息表述在文章中。商务工作者每天都会处理大量的信息,而那些没有实际意义的与主题无关的信息只会加大商务工作者的工作量,造成不必要的负担,所以写作时紧扣主题,围绕主题来进行必要的阐述和说明是十分重要的,言简意赅才能够使商务活动者有效接收信息。但是,有的商务英语的写作者在进行信函写作时往往会在开篇介绍一些可有可无的信息,很久都无法进入主题,例如在写商务开发信函时,有些写作者会利用很大的篇幅来介绍自己公司的位置、规模等信息,这样就可能会引起阅读者的反感,而不愿意再读下去,效果就会适得其反,正确的写法是主要围绕公司的产品展开介绍,让对方尽快了解到合作的价值和意义所在,而公司的情况简单介绍即可。

(七)标题的使用合理、准确、统一。商务英语写作中的标题一般分为主题性标题和主旨性标题两类,主题性标题是用于提及某个主题,而主旨性标题则是为了将主题的内容及含义用精炼的语言表述出来,因为主题性标题有其自身的缺点,所以为了方便读者的阅读一般选择采用主旨性标题,对于标题下面的副标题要与标题保持紧密的联系,结构要统一。

总结:商务英语写作具有自身的独特风格,不同的形式也有不同的语言风格,分析商务英语写作用语的特点对于提高商务英语写作水平,保证良好的沟通,促进商务活动的顺利开展具有重要意义。
